Administrative Services Staff Meeting January 19, 2005 PRESENT: _x_Rocky Bonura _x_Mike D’Amico _x_Janice Ely _x_Pam Fees ___Bob Gann _x_Vic Hanson _x_Alex Kelley _x_Donna Manno ___David Miller ___Andy Nasatir ___Lynnda Nelson _x_Allene Quarles _x_Marcy Wade _x_Satish Warrier Minutes: The minutes of January 11 were approved. Vacant Positions: Copies of the revised version (January 18) of the Vacant Positions list were shared with the group. Comments/suggested changes: Remove the Vice President/Administrative Services position. Put the Accounting Technician position under “Other Funds.” Add “and Business Services” to the Director of Purchasing title. Administrators should not be on the list. Put them at the end or on a separate list. The Senior Clerical Assistant (ITS) should come before the User Support Technician. Now is the time to look at what is best for the organization and perhaps consider reorganization. There is a problem with trying to combine needed organizational changes with a list of immediately needed positions; however, the information needs to be presented. Each manger is to prepare a paper on restructuring needs for Vic. Rocky is still doing two jobs. Someone is needed to oversee all reports that are submitted (320, MIS, etc.) There is a lot of activity in the Staff Development area, especially with the new trainer, and Marcy and Allene can’t supervise this area. Also, as faculty members get more technology training, they will need/want more technical support. Budget: Copies of the Ken Hall ACCCA budget presentation were shared with the group. Copies of the legislative changes presented by Arnold Bray will be sent to the group. Noted: As discussed at the last meeting, the feeling is that a clever spin has been put on the budget. While in some areas it appears that colleges will be receiving some money, in other areas it is being taken away. The question is whether they will balance out. The governor has reneged on his promises regarding Prop 98, and retirement costs will either have to be assumed by District of passed on to employees. Also, his 75/25 proposal is a clever way of doing away with it without eliminating it. The governor is also proposing things that are in a gray area legally, and he appears to feel that he could push them through in spite of opposition. Large companies are already conditioning employees to share costs. The LACOE survey on paying for health benefits was cited as an example. There will be time to make adaptations and plans before the final revision in May. Committee Reports/Division Issues Donna Manno Omni training for faculty is going well. Alex stressed that someone on campus needs to reviews Web material before it is linked and goes out as part of the official ECC Web site. AED training will be held on the 10th, and Kirk Johnston is doing a presentation on identity theft on the 9th. New staff orientation will be held this Friday. Rocky Bonura Things are going well in Purchasing. They still have a big job ahead with procedures, but they are making good progress. The office moves were scheduled to start in the middle of January, but they may be delayed. Consolidation of the two offices will be helpful. Alex Kelley The four new hires seem promising. The problem with new firewall that was installed has been resolved. The hardware upgrade to the servers is 2/3 done, mostly without down time. They will use the GSA to bring the HP in. Beverly Johnson will be out until the end of the month. Satish Warrier The new ID card system is in production and producing student cards. The problem with cards not working at the Box Office still needs to be resolved; however, the Timekeeper system has been modified to work with the new system (users will need to get new cards though). The system is not ready to produce staff cards yet. A trip to CSUDH to visit the library system is planned for Friday. Since the server will be in ITS, they will have to assume support for hardware (but not the software). The librarian will still be needed. Pam Fees She was asked by Hortense Cooper and Tyler Robbins if a payment plan could be set up for the 3,000+ people whose fees remain unpaid. The answer was a definitive no. There is a lot of confusion as to who is paying for the Inglewood move. The correct answer is John Means; however, he doesn’t appear to agree with this answer and someone needs to inform him of its validity. He still hasn’t given ITS an account code to pay for all the work involved in the planned move. There is also confusion as to what happened to the 519, and there even seems to be some doubt as to whether or not they will actually move. Janice Ely: Registration for winter and spring seem very light. Mike D’Amico: Two students were recently found sitting in a parked car with a gun between them while they smoked marijuana. Allene Quarles: February 17th is the deadline to input data on classified, casuals and non certs in, and they have decided, per Alex’s suggestion, to hire two temps to do the work. Marcy Wade The judgment in the Insurance Benefits Committee grievance was not in the District’s favor. As a result, retirees will be not allowed to serve on the committee. A brochure has finally been developed by the Public Information Office and should have available for the job fair this Saturday. HR Staff will be out of the office this Friday for staff development. Vic Hanson: Jim Schwartz is chairing the search committee for the VP of Administrative Services position, and some AS managers will be contacted to serve on it. Meeting adjourned at 10:30 a.m. staf11905
