Minutes: The minutes of October 19 need to be sent out for review.
Transition to Portal: Vic reported that he announced in both Area Council and College Council
that the Infonet will be discontinued effective January 1, 2005, and everyone will be using Portal
instead. Training will be available to make the transition a smooth one. There was some
discussion in College Council about whether this is an operational or a policy issue, but there
was no strenuous objection to the change. Reminders will be sent out about the January 1
deadline to remind people about the change. Alex circulated the draft Portal information for
staff and for students, noting that they want to get the student brochure out asap.
Management Forum – January 2005: The Management Forums will be set up on a rotational
schedule as follows:
October - Administrative Services
November - Academic Affairs
December – SCA
For 2005, Administrative Services is scheduled for January, April, July, and October.
Comp Time-O/T Report: The president wants CT and OT reports for all time authorized for
2003-04, by name and dollars. This is in response to a Mary Combs issue. Pam will provide OT
information from the County system, and managers are to provide Vic with CT reports by Friday.
The report is due to the president on November 8.
November Planning Status Report: Copies of the November Planning Status Report, which will
be submitted to the president today, were shared with the group. Vic noted that his retirement
plans were reflected in Item #5.
Committee Reports/Division Issues:
 Alex Kelley: He reported that Regina Smith is complaining about not being able to
access the transcripts of students who haven’t paid their fees. Vic agreed with Alex that
students who haven’t paid their fees aren’t entitled to any services – not even unofficial
transcripts. Alex will draft a response to Regina and will add this information to the
student Portal brochure also.
 Pam Fees: They recently sent out letters to all students from the past six years who owed
$5 dollars or more. There was a flurry of activity at first, but this has now died down.
The rationale for doing it now was to clear some of this up before the registration process
begins again.








Marcy Wade
 She has put together a Statement of Confidentiality and Conflict of Interest form to be
read by the chair or EEO of each screening/interview committee to the other members
at the first meeting. It will then become part of the record. She got a legal opinion
saying that just having it read is sufficient – members are not required to sign the
document. She is working with Allene and Leo Middleton on information for
screening committees. The president wants to review the membership of each
screening committee.
 Allene is starting 6 weeks of mediation training today. Others are encouraged to sign
up for this course also.
 There is no policy on hiring retirees; however, they are restricted on the number of
hours they can work.
 She will be taking vacation this Thursday and Friday.
Satish Warrier
 Security is still a problem. They had to void two users out for sharing passwords. It
was noted that signing on for someone else and letting them use your computer is still
a security breach. If the database is compromised, the college would be required to
send a notification letter to everyone connected with the college since it went online
(probably 600,000 or 700,000).
 They recently found sections that were just put on hold but not properly canceled;
consequently, students are still enrolled in them. Bill Mulrooney was notified that
these sections need to be cancelled properly in order to clear up the inaccurate
information.
David Miller
 Thanks to Satish and ITS, the Campus Standards document is now on Internet and
Portal. Jim Rogers (Maas Company) will be in charge of making changes to the
document.
 The Foundation Open House for the Natural Science building is this Friday.
Mike D’Amico
 An attempted sexual assault last Thursday night in the channel parking lot was
interrupted by a passerby. The intended victim got away and went home without
reporting it to the police until several hours later. A possible suspect had a videotaped alibi, so more work is needed to track down the perpetrator.
 Two ECC football players were arrested last night.
 The new officer will start on December 1.
Ruth Sanchez: Aolis never called Allene back re: reserving a room for our Holiday
Lunch on December 14, so Buca De Beppo will be booked instead. Mark your calendars.
Vic Hanson: There was discussion in Cabinet on Monday about possibly approving the
Dean of HSA position for filling. Lucinda Aborn is currently performing a percentage of
the duties, and Jim Schwartz is retiring in June.
Bob Gann
 As noted in the November Planning Status Report, they are moving ahead with
selection of the construction manager for Humanities and the selection of the design
architect for the parking structure in Lot H, which will involve relocating the tennis
courts and redoing the softball field. It was noted that the president wants to be on the
parking structure committee, which will make it difficult to schedule meetings since
he will be out of the office most of November.
Bob and David will be in Sacramento two days next week.
