POSITION DESCRIPTION TITLE: EXTENDED TITLE: FLSA STATUS: Special Projects Assistant Special Projects Assistant Non-Exempt CATEGORY: Classified GRADE: F JOB SUMMARY: Position is responsible for assisting the Office of the President in a broad range of assigned special projects which require the use of judgment and discretion to handle administrative matters following College policies and procedures. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 25% 1. Responsible for working with community based building projects and events for the Office of the President to include coordinating day-to-day tasks assigned to the project, research, compile, prepare, and submit project reports. Develop calendars according to the needs of the project and provide support by marketing and ordering needed supplies and materials. 2. Responsible for monitoring fiscal budgets for a number of grants and/or new initiatives. Assist the Office of the President with scheduling and organizing district-wide meetings with employees, faculty, students as well as organizations and leaders in the community. Schedule and arrange conference calls. Read and respond to incoming/outgoing mail and correspondence. 20% 3. Facilitate and work closely with the President, Texas Completes, Leadership Development Academy, and Grant coordinator to maintain budgets, verify charges, do budget transfers, journal entries and resolve issues. Develop quarterly and end of the year reports, organize and maintain routine records and confidential files and process requisitions, etc. Work with Grants Management, Accounts Payable, and Accounting Department to assist with reports and ensure accountability. 20% 4. Serve as facilitator between students and/or parents and College President on College polices and procedure in regard to grievance and grade appeals. Provide administrative support to the Office of the President by assisting in coordination and preparation of regularly scheduled cabinet and administrative staff meetings. Assist with the coordination of monthly board meetings. Serve as resource person in department. 20% 5. Collaborate with the IT department to maintain and support updates on the President’s webpage. 10% 6. ESSENTIAL QUALIFICATIONS: EDUCATION: Associate’s Degree or equivalent. EXPERIENCE: Five (5) years related experience. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Must be able to communicate effectively in both written and oral form; Ability to establish cooperative working relationships; Effective organizational and time management skills; Accounting/budgeting experience; Knowledge, skill and ability to coordinate complex activities and exercise independent judgment; Ability and experience preparing and editing reports/agendas/other materials; Ability to compose correspondence; Ability to maintain strict confidentiality and work independently; Must be able to maintain social media websites; Ability to comprehend and interpret policies and procedures. 2. Equipment Used: Desktop and laptop computers, copying equipment, scanner, fax machines and media equipment as needed. 3. Software Used: Microsoft Office Suite, Banner, Adobe Acrobat.
