JOB SUMMARY: Responsible for the daily processing activities in the Registrar's department.

ESSENTIAL FUNCTIONS:

Collect, review, process, and maintain drops, reinstatements, grades, and grade changes for credit courses district wide. Enter documentation into automated information management system via personal computer and associated peripheral devices. Responsible for the accuracy and corrections of students' academic records which include grades, Grade Point Average

(GPA), and academic standing. Responsible for ensuring and obtaining proper documentation in accordance with College policies and guidelines.

2.

Prepare, process, distribute, and maintain certified rosters and grade records.

Responsible for collecting records each and every semester; work with Dean's

Office to obtain all necessary documentation from instructors.

3.

Exchange information with internal and external departments or agencies and explain college policies, procedures, rules, and regulations. Responsible for written and verbal enrollment, degree verifications for student loan companies, work with employment screening agencies, insurance companies, and the Military.

4.

Provide departmental clerical backup to include answering phones, taking messages, and providing customer service. Respond to all inquiries for credit course information, registration, grades, and direct students to the proper department for assistance. Responsible for registration, notification, and appeals for students placed on academic suspension.

5.

Assist, research, and correct problems concerning students' academic records.

6.

Perform other duties as assigned.

ESSENTIAL QUALIFICATIONS:

EDUCATION: One year of college.

EXPERIENCE: Three (3) years of experience.

SPECIAL SKILLS AND ABILITIES:

1.

Skills/Abilities : Proficient computer skills, including typing; strong interpersonal and organizational skills; ability to effectively communicate both orally and written.

2.

Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment.

3.

Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software.

PHYSICAL REQUIREMENTS:

Duties require little physical effort in work with light (up to 10lbs), easy to handle materials.

Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion.

INTERPERSONAL SKILLS:

Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others.

WORKING CONDITIONS:

Job is performed in general office or comparable working area with many and frequent distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
