POSITION DESCRIPTION TITLE: FLSA STATUS: Processing Specialist Non-Exempt CATEGORY: GRADE: Classified E JOB SUMMARY: Responsible for assisting the Assistant Registrar for Records with coordinating the work flow in the Processing department for the district. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 35% 1. Process and update of student information within the computerized student record system, to include processing name, address, and major code changes; audit instructor certified rosters and grade records; correct students’ social security numbers; and place or remove disciplinary holds for students in the absence of the Assistant Registrar for Records. 2. Coordinate the work flow process for the preparation, distribution and intake of certified rosters, grade records and grade scanners; notify clerks when to begin processing the faculty and/or administrative drops/reinstatements, missing grades and petition withdrawals; and ensure manual grades are entered. 30% 3. Assist in verifying the accuracy of the institutional self-report to the Texas Higher Education Coordination Board (THECB). 15% 4. Modify, compile, and generate reports using a query, to include a check list for certified rosters, missing grade reports, president/deans lists (during the summer session). 10% 5. Provide work direction and training to assigned staff. 10% REPORTING RELATIONSHIP: Assistant Registrar for Records. SUPERVISORY RESPONSIBILITIES: Provides work direction for assigned staff. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others.
