Student Services Council Wednesday, January 16, 2013 9:00 – 11:00 a.m. Present: Dennis Bailey-Fougnier, Sandi Moore, Lyn Hood, Sesario Escoto, Rachel Mayo, Barbara Rigg, Tootie Tzimbal, Anya Finke, Tama Bolton, Alicia Hernandez, Margery Regalado Rodriguez, Charlotte Achen 1. Transitions • VPI: Kathie Welch has accepted the VPI position and will officially start February 1. A search will commence for an interim dean for the HAWK division to replace Kathie. • President/Interim Search: John Hendrickson has been appointed by the Board as the interim president. His recent experience includes Chancellor at West Valley/Mission College District and he has an extensive background in Business Services from several schools. His appointment will last approximately six months while the search for the president is underway. The Board approved the consulting firm CCS to manage the search process. Alta, in her role of CCEU president, is the only Student Services staff on the hiring committee. Dennis encourages attendance at the forums during the search process. • FTTW: The Cabinet approved the director position to be reinstated. Catherine will help with recruitment. • Dean’s Assistant: Application screening will take place next week for Lois’ replacement. Vikkee Hiddleson has been working afternoons as a temp during the interim. • Welcome tables – let Sandi know you want to volunteer! 2. Student Services Mission Statement The committee approved the following statement. It will be posted on the web site and Dennis will send out a formatted copy for anyone who wants to put it up in their office. The Cabrillo College Student Services component fosters a studentcentered environment that facilitates student development and promotes educational success. 3. FERPA There was discussion about what sort of personal information can or should be given to students over the phone and what questions should be used to verify the student’s identity. Enrollment Services will work on a document/policy stating what that department needs for identity purposes and what sort of information can be divulged. The criteria may vary from office to office depending on what sort of information is available and what information a student is able to look up him/herself. As a segue to a conversation regarding concern for students, Sesario brought up the Kognito training for dealing with students in psychological distress. He and Dianne Avelar will conduct a FLEX workshop, and there will be an additional workshop offered in the spring for staff development. Program Plan 2013 updates Dennis reminded everyone that program plans for DSPS, Learning Skills, Outreach & Recruitment, and CAP are due by the June 2013 SSC meeting. Assessment was moved to 2014, to go along with Student Success and Support Program. Everyone else must provide a yearly update of their program plan. Rachel and Rory have been reviewing accreditation reports and will have a draft for the next CPC meeting. 5. Program updates • The Assessment office is currently assessing a lot of students and will begin assessing for Running Start soon. The intent form is online this year. • Watsonville Center has been quiet except for Enrollment Services and the SRC, which have been bustling. Rachel’s working on a replacement for Leti’s position. • Tama returned from her leave and has been catching up on issues during her absence. Judy Pereira is retiring the end of this month. Tama, Tootie, and Masina will be presenting at the collective Student Services FLEX activity. • The first Financial Aid disbursement to students will be the first Thursday before school begins. Antonio Alarcon filled the advisor position that Francisco Tostado left when he resigned. Tootie is setting up all the changes needed for the new regulations. The FAO will be taking part in outreach to high schools, pooling resources with UCSC and CSUMB; inclass daytime sessions will be for high school students, but the evening sessions will be open to anyone. FAFSA Fridays begin in February. Dream Act: starting this winter/spring/summer, AB540 students will be eligible for 2 • • • • • • the BOG. Beginning in 2013-14, these students will be eligible for the BOG and the CalGrant. Charlotte said the Student Senate has been working on the cafeteria renovation with the architect. Newsletter submissions are due to her by January 23. FTTW will be taking part in the FLEX Student Services workshop. Alicia announced there will be a retirement party for Catherine in the next few months. She noted the importance of hiring someone with extensive CalWorks experience in the new director position. Lyn’s purging old students and registering new students; Student Employment office is closed on Fridays. Margery mentioned the Transfer Center currently is unstaffed. The LIA position is being changed to a Student Services Assistant position. There will be a minor renovation of the Transfer Center/Counseling area so that there will be one entrance only and staff will be in closer proximity. Sesario praised instructor Michael Booth’s donation of countless hours for the Borrow A Book Program and Rachel gave kudos to Olga for offering to run the program in Watsonville. Sesario will continue to work with Second Harvest to stock Cabrillo’s food pantry but in the meantime, we have food for students in need. Don’t forget to tell students about calling 211 for county resources. Dennis asked everyone to keep working on updating their APs and BPs. 3
