Student Services Council Wednesday, February 20, 2013 9:00 – 11:00 a.m. Present: Dennis Bailey-Fougnier, Sandi Moore, Lyn Hood, Sesario Escoto, Tootie Tzimbal, Tama Bolton, Alicia Hernandez, Margery Regalado Rodriguez, Beth McKinnon, Katie Dowling, Barbara Schultz-Perez, David Trevino, Masina Hunnicutt Guest: John Hendrickson 1. John Hendrickson, Interim President John was introduced to the committee. 2. APs and BPs update As the college is moving from the Cabrillo numbering system to the League numbering system, policies are being revised with the League language. The Student Services component has updated many policies already, and Dennis is asking for all policies to be updated by the end of the spring 2013 semester. Dennis will find out the status of faculty review for AP 3900 Speech: Time, Place, and Manner. 3. First Week Recap Enrollment is down about 3%, as expected. Everyone has noticed a decrease in students on campus, although parking lots have been full. Some classes are still open. Beth remarked on a surprising number of psych students coming to her office. 4. Student Success Committee Changes are happening rapidly at the Chancellor’s Office. This committee arose from the Student Success Act and Taskforce recommendations. Dennis and Kathie Welch are co-chairs and there has been a lot of faculty interest and involvement. Beth and Sesario have tentatively volunteered to represent Student Services if needed. Sesario requested that mental health support be included. Students are being asked for their definition of student support. There was discussion regarding the new Financial Aid regulations and enrollment priorities, and how/when to inform students. Dennis and Margery have been travelling to Sacramento frequently to stay as current on the new developments as they can. Letters will be sent to students regarding academic standing and those getting close to the 100-unit maximum for enrollment priority, but first a method to pull out high-unit majors who are exempt must be in place. The BOG cap for fall 2014 may be delayed until fall 2015. Letters for academic probation/dismissal from other colleges will be compared to keep the language similar. 5. AP 4225 (AR 3280) Course Repetition –Tama Tama is taking this AP to Curriculum Committee, Instruction Council, and Academic Council this week. SSC approved the AP. This is primarily an Instruction policy that Student Services implements. There was discussion regarding how many times a student is allowed to repeat a class (to change a grade, for example) versus how many times a class can be repeated (as in Athletics). A better definition of “extenuating circumstances” was discussed. There was also brief discussion regarding how a student would be able to register to repeat a class before a final grade is assigned (registering before the semester has ended) – this is not reflected in the AP. Masina will make sure the repeat petition matches the policy. 6. SSCT (Student Support Conference Team) – Sesario The purpose of this team is to promote student success and campus safety. (Sesario reminded everyone of the Kognito training.) Dianne Avelar and Sesario will be reviewing all behavior reports (Concern for Student, Disruptive Behavior, Academic Dishonesty) together. If warranted, they will then call a meeting of the team, which includes representatives from DSPS, Student Health Services, law enforcement, Faculty Senate, Counseling, and deans. Sesario is requesting criminal history reports on all students with behavior reports. 2
