PROGRAMMING BYLAWS (2014) Article VII. Programming Policy 1. A program form can be submitted at any time after August 1 and continuing throughout the academic year for a Greek event. a. The earliest program forms can be approved is August 1 for the fall semester, and December 1 for all events in spring semester. b. The latest program forms can be approved is three weeks prior to the anticipated event date. c. The Panhellenic Vice President for Programming will host a meeting with all chapter programming chairs within the first two weeks of each semester. All chapters will have the opportunity to have programs submitted, reviewed and approved at this meeting for programs that will be held within that semester. 2. All programs must be approved by the Panhellenic Vice President for Programming a. In such cases where the Vice President may have a conflict of interest or for any other reason cannot come to a decision regarding a chapter event proposal, the program will be reviewed by the IFC/Panhellenic Presidents for approval. b. Organizations hosting programs without following proper protocol be sent to the Panhellenic Council Judicial Board. 3. Each chapter is permitted one single-sponsor program per year until a specified deadline as determined by the Panhellenic VP of Programming. a. Additional events may be hosted prior to the deadline if co-sponsored by a minimum of two (2) additional registered student organizations. Priority will be given to chapters who co-sponsor with organizations that are from outside the Greek community. b. After said deadline, chapters may apply to host additional single-sponsored programs. c. The Panhellenic Council Executive board of Kent State University recommends that all additional programs be co-sponsored by two or more additional registered student organizations. 4. One program will be permitted per calendar date. a. IFC/Panhellenic/NPHC Council Programs will take precedence for the day. b. Philanthropy events of any kind will take precedence over educational programming, speakers, etc. c. Philanthropy events are limited in length to two calendar days. i. Chapters may petition the Panhellenic VP for Programming for additional days of philanthropy programming up to a maximum of 4 days. ii. Petitions for additional days must be approved by the Panhellenic Council iii. A petition passing with a majority vote will be placed on the Greek Calendar d. All organizations shall be required to submit an event request form to the Panhellenic Council prior to submission of scheduling paperwork and CSI VIP Event forms. e. The Panhellenic Council recommends all philanthropies that are two days consist of one day is utilized primarily for educational programming related to the philanthropy topic and one day primarily focused on community wide participation in an activity or fundraising effort. f. It is recommended by both the Interfraternity and Panhellenic Councils that 5. 6. 7. chapters hosting individual philanthropic events or activities take primary responsibility for any fundraising efforts related to those events. Careful consideration should be given to limit the expectations of other chapters to raise funds on behalf of other organizations for individual charitable causes. Organizations wishing to cancel an approved program: a. Must submit a cancelation form to be reviewed by the Panhellenic Vice President of Programming two weeks prior to the events planned date. b. If time permits, additional programs will be allowed to be held on the cancelled program date. Organizations wishing to change the date of an approved program: a. Must submit a change of date form to be reviewed by the Panhellenic Vice President of Programming two weeks prior to the events planned date. b. Pending review, the event will be rescheduled on the i. Greek Calendar. Chapter participation fees (entry fee) for IFC/Panhellenic philanthropy events may go up to but shall not exceed $100: a.
