Resolved,
That all proposed philanthropic events seeking IFC/Panhellenic endorsement and/or
participation shall be subject to the guidelines listed below.
Philanthropic events, which gain IFC/Panhellenic endorsement and/or participation through the
following procedure, shall be listed on the official Greek calendar.
Revised Spring 2004
1.
Event plans shall be submitted, in detailed writing to the IFC/Panhellenic Executive Boards the
week of the presentation. If selected, the chosen philanthropies will be for the semester following
the IFC/Panhellenic meeting. Plans shall include:
a. Purpose
b. Benefactor
c. Detailed description of activities, themes, etc. This includes ALL activities for your twoday event, including point break down, which can consist of participation in hands-on
event, participation in alternate activity, poster presentation, and overall philanthropic
spirit.
d. People involved event chairman, etc.
e. Expenses (registration fees and other costs to chapters and/or members such as Tshirts, pizza night, etc.)
f. No event scheduled before 10:00 am
g. One poster per chapter is allowed for points to be put up during the week on walkarounds. No flyers or any other forms of decoration are permitted for the event.
h. It is required that one day of the philanthropy be part of a hands-on service with the
benefactor. If a chapter selects a benefactor that is not hands-on oriented, then the
chosen chapter agrees to choose a service project in conjunction with the chosen
benefactor. Twenty-five percent (25%) of all participating chapters must attend handson service day.
2.
Themes and activities, which demean any group or individual, shall not be permitted (i.e. sexist,
racist themes).
3.
It is suggested that events that create competition among participating chapters, i.e. sporting
events, etc., should rather present events in which all chapters work together for the common
cause.
4.
Chapter/member participation in events shall not exceed a two-day period. Preference shall be
given to events that are scheduled to be completed within one day.
5.
Final plans of the previously authorized events shall be presented for final approval, in writing, to
the Assistant Coordinator for Fraternity and Sorority Life (Troy) or the Panhellenic President two
weeks prior to the event. Failure to do so will result in cancellation of the philanthropy.
6.
It is suggested that all chapters collect any financial costs, not to exceed a $200 entry fee, prior to
the event to eliminate nonpayment by a participating chapter. If the designated amount is not
collected prior through an agreement with the sponsoring chapter, the participating chapter may be
eliminated from participation in the event.
7.
As a sponsoring chapter, continue to keep down the cost of participating chapters and their
membership. Remember in order to exceed the designated entry fee the participating chapters
must get sponsorships in the San Diego community rather than amongst the Greek members
within the community.
8.
Alcoholic beverages shall not be present at any Panhellenic sponsored or endorsed event or
activity, unless the event is held at an establishment licensed to sell alcoholic beverages and the
Center for Fraternity and Sorority Life has approved the event (ARTICLE XI. ALCOHOLIC
BEVERAGES – Panhellenic By-laws).
9.
“Taking out your coaches,” or any event there of or pertaining to presenting either delegates or
coaches with alcoholic beverages as gifts is strictly prohibited.
10.
A sponsoring chapter may also have a restaurant fundraiser activity as long as it is held on one of
the two designated days of the philanthropy, but cannot be included within the presented point
breakdown. A chapter desiring the restaurant fundraiser in addition to their two designated days
must hold the event two weeks prior or following the designated philanthropy days. Participation in
restaurant fundraiser event cannot result in refection upon final point totals.
11.
Clothing designs must be presented within the initial detailed description of the philanthropy. Tshirts, shorts, nor any other clothing can be presented with a mandatory purchasing requirement
and therefore cannot be a reflection upon final point totals.
