INDEPENDENT STUDENT ARTS PROJECT FUND (ISAPF)
2011-2012 Application Guidelines*
Application Deadline: November 11, 2011 5:00 p.m. at the latest in the box in the
Student Council office on the first floor of Newcomb or electronically via email.
PURPOSE/OVERVIEW:
The Student Council Arts Committee at the University of Virginia aims to promote and enrich the
Arts community at the University of Virginia through the Independent Student Arts Project Fund.
The Committee welcomes proposals from independent student artists for arts-related projects in
the areas of Studio Art (painting, sculpture, print-making, etc.), Music, Creative Writing or
Poetry, Architectural Design, Film/video, Dance, Drama/Performance Art, and Multi-media art.
Applicants are not required to be art, drama, or music majors or minors. Undergraduate applicants
will be given priority over graduate applicants. The fund is intended to enable individual
creative and performing artists to pursue arts projects outside of the regular academic
curriculum.
BUDGET AND CRITERIA:
*NOTE: All projects must be completed and presented by the end of the Spring 2011
semester.
Fund money is to be used primarily for consumable materials such as art supplies or class
tutorials. The Committee has the option to fully or partially fund projects or to request that
applicants obtain matching funds from other sources. Applicants are encouraged to be creative
in their use of resources and to take advantage of opportunities to either rent or purchase
equipment at low cost. Applicants need to thoroughly explore alternate sources of funding the
purchase or borrowing of equipment before applying. It is essential that a thorough but succinct
description of the project and a tentative timeline for the completion of the project be submitted
as well as a specific breakdown of costs and proposed plans- including an approximate date and
place- for the final public presentation of the project in the form of an art exhibit, performance,
etc. Although artists are expected to showcase their work on their own, the Committee will
host an ISAPF-specific showcase towards the end of the Spring semester.
The Student Arts Selection Committee will review applicants and administer all funds. Projects
should not be a continuation of an already existing project. Priority will be given to new artists
who have not already received money from the Committee, and applicants who do not succeed in
obtaining funding one semester are encouraged to apply again for funding.
**The fund works as a reimbursement process. If selected, you will be allocated a certain
amount of money to spend. You will then be reimbursed for that amount by submitting a
receipt to the Newcomb business office. YOU WILL NOT BE GIVEN A CHECK
BEFOREHAND.**
UNIVERSITY IMPACT:
The Committee will seriously consider the impact that the project will have on both the
individual student and the artistic community at the University of Virginia and the student’s
ability to satisfactorily complete the proposed project. Each person receiving an award is
expected to complete the project and publicly present the completed project to the Committee as
well as the University community by a set date that will be decided upon by the Committee. The
recipient of the fund will ultimately be responsible for advertising and arranging the

presentation of the completed project to the rest of the University community. The
committee can help with printing flyers and posting them and sometimes with reserving a venue.
The process for utilizing this will be made available upon selection.
APPLICATION PROCEDURE:
Fill out and submit the application to the box in the box in the Student Council office on
the first floor of Newcomb no later than 5:00 pm on Friday, November 11, 2011. Your
name should appear in the document title. Make sure to include in your application:
*One page budget detailing expenses and income. Remember to be creative in your use
of resources! Be thorough.
*A tentative timeline for the project.
*STRONGLY recommended: Supporting materials/portfolio of recent work (up to 10
slides with your name, title, medium, size of work, “top” of slide indicated and slide list;
high quality photos with captions; CDRom; video; audio cassette; etc.) Please deliver
your materials to the designated box outside of the Student Council Office on the first
floor of Newcomb. If the materials exist in electronic form, you may submit them with
your email application.
* The Committee will accept faculty recommendations, but does not require them.
APPLICATION/PROJECT TIMELINE:
November 11th – All application materials must be submitted. NO EXCEPTIONS!
November 14th-17th – Interviews with select applicants will be conducted during this week.
December 1st – Recipients will be decided and informed.
February 1st – Recipients must begin purchasing materials by this date.
April – Projects must be completed and exhibition date and location must be decided on.
***********RECOMMENDATIONS FOR APPLICANTS***********
Here are a few suggestions to help you in planning your project and applying for funding:
CLARITY:
Projects that are clearly defined, in terms of the project goal and budget, are at a definite
advantage. Budgets need to be well-thought out and documented. Vague project descriptions that
lack details about the specific steps that the applicant would take to complete the proposed project
are given less serious consideration.
UNIVERSITY IMPACT:
It is essential that you describe in some concrete way how your project benefits the University
community. Since a public presentation of your completed work is a requirement, it is advisable
to plan out venues in which your work could be presented to maximize the impact on the UVA
community. However, do not sacrifice project clarity in the process!

PREPARATION: ** important! **
We are especially impressed by students who have done their research and have all the
information needed to begin work on their projects immediately. For example, if your need a
group of actors for your project, show us that you have already begun recruitment. If the project
requires the cooperation of faculty or the use of reserved space, make sure to obtain faculty
support so that the project can be completed if funded.
RESOURCEFULNESS:
Due to a tight budget, the selection process is very competitive. Often the Committee is forced to
choose between two very good project proposals simply because there is not enough money to
fund both of them. Therefore, applicants that demonstrate a marked effort to cut costs in their
project proposals are more appealing and often chosen over projects with looser budgets. For
example, if you want to make a student film, investigate ways of borrowing a University camera
before applying for money to buy a new camera.
