CLASS TITLE:
MARKETING ASSISTANT/RECEPTIONIST
BASIC FUNCTION:
Under the direction of the Director, Public & Governmental Relations, Marketing &
Communications, this position performs general marketing tasks; routine clerical work; serves as
receptionist at the information desk in the lobby of the Administration Building and operates the
college switchboard; answer questions and provides information to the public both in person and in
response to telephone, online and mail requests; maintains college telephone directories and
mailing lists.
REPRESENTATIVE DUTIES:
1.
Establish and maintain inventory control procedures and processes to monitor, maintain
and distribute print and promotional supply inventory. Monitor and maintain supply of print
materials. Interact with vendors; obtain and compare quotes; prepare and process
purchase requisitions according to approved procedures. (E)
2.
Use room-scheduling software to enter events and room/space requests.

Review, proofread and edit press releases, newsletters, the online calendar, and other
documents, records and forms for accuracy and completeness. Add press releases, events
and photos to college webpages; the online calendar, and external websites. (E)

6. Receive, screen and direct incoming calls to the appropriate personnel or department;
assist employees with outgoing calls.. (E)
5.
Work with the Telephone Network Specialist and college departments to develop and
maintain district telephone trees. (E)
6.
Provide college information to callers and visitors and determine the appropriate college
department or staff member to assist the caller/campus visitor. Respond to requests for
college information to be mailed. (E)
7.
Maintain, update, format and disseminate personnel and department printed and online
directories. Establish and maintain external databases and mailing lists. (E)
8.
Provide training and work direction to switchboard relief, substitute personnel and student
workers as required. Arrange for substitute personnel when an absence is anticipated.
9.
Lock/unlock the Administration Building (1000) daily.
10.
Support planning and logistics for events put on by the department or program.
11.
Assist Marketing and Communications staff and other work groups in the Office of the
President with routine clerical duties and other projects as time permits.
12.
Perform related duties as assigned.

Learn to use room scheduling software and various district software applications.
Operate a variety of office equipment, including computer and appropriate software.
Analyze situations accurately and adopt an efficient course of action.
Respond appropriately to emergency phone calls and situations.
Use good judgment in dealing with a variety of situations and with the public.
Speak clearly to provide answers to questions from the public.
Make arithmetic calculations quickly and accurately.
Understand and follow oral and written directions.

Meet schedules and timelines

Maintain records and prepare reports.
Type at 45 words net per minute from clear copy.

EDUCATION AND EXPERIENCE:
Education and experience equivalent to graduation from high school and one year directly related
work experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver license
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not assigned permanent staff to supervise. Provides training and work direction to switchboard
relief, substitute personnel and student workers.

CONTACTS:
Department coworkers, District staff, students, faculty, professional staff at other two- and four-year
institutions, vendors, and the general public.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at computer, including
repetitive use of computer keyboard, mouse or other control devices; ability to travel to a variety
of locations on and off campus as needed to conduct district business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily works in an open, office environment (reception desk in public area (building lobby).
Subject to frequent interruptions by individuals in person or by telephone, intermittent exposure
to individuals acting in a disagreeable fashion. May work at any district location or authorized
facility during day and/or evening hours with occasional evenings, and/or weekends on an asneeded basis. Occasional local travel may be requested.
