CLASS TITLE:
FINANCIAL AID CLERK
BASIC FUNCTION:
Under the direction of the Director, Financial Aid and Scholarships perform general Financial Aid
clerical duties; maintain computerized records and answer telephones.
DISTINGUISHING CHARACTERISTICS:
The Financial Aid Clerk performs clerical duties specific to the Financial Aid Office under general
supervision. This position is categorically funded and continuation of this position from year-toyear is dependent upon receipt of funds.
REPRESENTATIVE DUTIES:
1. Perform variety of clerical work including intake, initial review and coding of financial aid
applications. (E)
2. Review existing Financial Aid and Admissions records to assist in assigning document
requirements for student file completion. (E)
3. Data entry of documents required for each student into Financial Aid software program. (E)
4. Generate correspondence to applicants; mail letters and appropriate forms.
5. Input financial aid applications and forms into Electronic Storage and Retrieval System.
6. Answer telephones, route calls; take messages; provide general financial aid information
and assistance to students, faculty and the general public.
7. Perform Financial Aid front counter duties when others are absent. (E)
8. Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
Modern office practices, procedures and equipment.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Basic recordkeeping techniques.
Telephone techniques and etiquette.
Basic financial aid policies and procedures.
Needs and problems of students from disadvantaged backgrounds.
Word processing.
ABILITY TO:
Learn to interpret, apply and explain rules, regulations, policies and procedures and apply them in
a variety of procedural situations.
Operate a variety of office equipment, including computer and appropriate software.
Meet schedules and timelines.
Make arithmetic calculations quickly and accurately.

Establish and maintain cooperative and effective working relationships with others.
Type at 45 net words per minute from clear copy.
Communicate effectively both orally and in writing.
Demonstrate sensitivity to and understanding of diverse academic, socioeconomic, cultural,
ethnic and disability issues.
EDUCATION AND EXPERIENCE:
Education and experience equivalent to graduation from high school supplemented by collegelevel course work and/or one year closely related experience.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not applicable -- no assigned staff to supervise.

Coworkers, students, faculty, other department personnel, and public.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at computer for
extended periods of time, including repetitive use of computer keyboard, mouse or other control
devices; ability to travel to a variety of locations on and off campus as needed to conduct district
business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups of
individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; subject to constant public contact, including irate students and interruption
requiring appropriate personal interaction ability to work effectively under pressure on multiple
tasks concurrently while meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily busy office environment; subject to frequent contacts and interruptions by individuals in
person or by phone; may be required to work at any district location or authorized facility during
day and/or evenings hours including occasional weekends on an as-needed basis.
