CLASS TITLE:
COMMUNITY EDUCATION ASSISTANT I
BASIC FUNCTION:
Under the direction of the Director, Community Education & Workforce Development or
Community Education Assistant II, perform a variety of responsible specialized clerical duties
and registration of students in Community Education and Workforce Development classes,
workshops, excursions, and programs. Maintain records, communicate with instructors, provide
customer information and generally promote Community Education and Workforce
Development programs.
DISTINGUISHING CHARACTERISTICS:
The Community Education Assistant I is distinguished from the Assistant II in that the focus of
the position is in direct customer contact and general clerical support for all Community
Education programs such as Driver’s Education, ELCSI, College for Kids, Contract Education.
The position is contingent upon revenues generated.
REPRESENTATIVE DUTIES:
1.
Answer multi-line telephones, provide information and assistance, and refer callers to
other departments as appropriate. Register students for Community Education courses,
Driver’s Education classes and behind the wheel training, excursions and programs by
telephone, in person, fax, voice mail, conventional and e-mail. Create and provide
certificates for students as needed. Mail appropriate forms as required. (E)

Assist in the advertisement of off-site Contract Education to companies and register
enrollees. Create purchase orders for services provided for contracting companies.
3.
Manage Ed2go Online classes through the Administrative Ed2go web site, assisting
students in enrolling online for Ed2go classes, solving problems they have with
accessing the lessons or enrollment problems. Provide assistance with technical
questions concerning computer related offerings. (E)
4.
Communicate with instructors, students and parents regarding necessary class
information, cancellations and withdrawals. Interpret parking procedures and regulations
and share the information with customers and instructors. (E)
5.
Contribute to the maintenance of Community Education’s self-supporting status and
provide excellent customer service. Authorize refunds using judgment in determining
how and whether the request for a refund meets Community Education refund criteria.
Execute refunds to credit cards or forward completed forms to appropriate department.

Prepare and distribute instructor roster packets following established procedures and
appropriate timelines. (E)

Under the direction of the supervisor, maintain the Community Education website by
posting classes and programs prior to each semester, updating information and making
changes as necessary.

8.
Under the direction of the supervisor, assist in preparing routine instructor contracts and
prepare routine purchase orders.
9.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:

ABILITY TO:
Perform a variety of responsible specialized clerical duties related to registration of students in
Community Education classes, workshops, excursions and programs.
Perform administrative tasks related to online education.
Learn, interpret, apply and explain rules, regulations and policies regarding the Community
Education program.
Provide accurate information to instructors, staff, callers and visitors regarding policies,
procedures, course offerings, and schedules.
Establish priorities and work effectively with many demands on time.
Operate office equipment including a computer terminal and a variety of software programs.
Work confidentially with discretion.
Receive cash and make change correctly, total daily revenues.
Type 45 net words per minute from clear copy.
Maintain records and prepare reports.
Understand and follow oral and written directions.
Communicate effectively both orally and in writing.
Work independently with little direction and many interruptions.
Establish and maintain cooperative and effective working relationships with others.
Train and provide work direction to others.
Meet schedules and timelines.
EDUCATION AND EXPERIENCE:
Any combination equivalent to graduation from high school and two years of office work
experience.
LICENSES AND OTHER REQUIREMENTS:
Some positions in this classification may require a valid California driver license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Provide work direction to temporary staff and student workers.

PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at computer station for
extended periods of time, involving light repetitive use of hands , wrists, shoulders, and
forearms; ability to travel to a variety of locations on and off campus as needed to conduct
district business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to work effectively
under pressure on multiple tasks concurrently while meeting established deadlines and
changing priorities.
WORKING CONDITIONS:
Primarily busy, indoor office environment; subject to frequent contacts and interruptions by
individuals in person or by phone; may be required to work during day and/or evening hours
including occasional weekends on an as-needed basis.
