CLASS TITLE:
HEALTH SERVICES ASSISTANT
BASIC FUNCTION:
Under the direction of Health Services Coordinator, performs a variety of complex secretarial
duties and administrative/organizational support for Health Services department and programs.
REPRESENTATIVE DUTIES:
1.
Perform secretarial duties for an assigned supervisor and other medical office staff
assisting them with a variety of functions such as: arrange and schedule meetings and
conferences; establish and maintain filing systems; review and proof documents, records
and forms for accuracy, completeness and conformance to applicable rules and
regulations; coordinate duplication and distribution of various materials; open and
distribute mail; revise and disseminate schedules, reports, records and other information
as necessary to assure effective coordination of department or program functions.
2.
Have initial contact in person, over the telephone, or online with students, faculty, parents,
District staff or the general public; receive and screen visitors and/or resolve problem;
provide information, appropriate referrals; and/or schedule with an appropriate staff
member. (E)

Order medical supplies, order and maintain office supplies; prepare and process purchase
requisitions; schedule maintenance and repair of equipment. (E)
4.
Compose, prepare and/or type a variety of correspondence, agendas, memoranda, and
reports, including material of a confidential nature; record and transcribe minutes from
meetings.
5.
Maintain budget balances; monitor expenditures of funds; make reservations and travel
arrangements; process a variety of travel and expense forms; collect and compile
statistical and financial data; prepare personnel requisitions.
6.
Maintain information on medical providers and outside agencies; review accounts and
follow up on discrepancies; implement established procedures to assure payments are
made in a timely manner. (E)
7.
Process student insurance/international student insurance claims. Understand insurance
policies and procedures in order to distill, explain and interpret technical information about
insurance to students. Ascertain information from students to provide proper referral for
treatment. Analyze, investigate, and troubleshoot issues related to insurance claims.
Interface with MCC Risk Manager, liability carriers, patient providers and billing agencies
to resolve billing issues on the student’s behalf. (E)
8.
Provide all scheduling support for the Marriage Family Therapist Intern program and
provide feedback from intern interactions to MFT Supervisor. Triage students into the
program. Provide in-service training sessions and administrative support to the interns.

Provide administrative support to health promotion events: create text and design of
advertising, decide placement of advertising, reserve location sites; field questions and
handle sign-ups. Follow up with outside participating agencies as needed.
10.
Train, provide work direction and guidance to student workers, temporary staff and others
as assigned.
11.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
Organization, policies and procedures of health care environment. Medical terminology and
health care processes.
Modern office practices, procedures and equipment. Advanced techniques and operation of
personal computer.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Applicable sections of California Education Code, insurance rules and regulations, and other
applicable laws and regulations.
First aid, CPR and AED.
Interpersonal skills using tact, patience and courtesy.
ABILITY TO:
Learn to interpret, apply and explain rules, regulations, policies and procedures and apply
them in a variety of procedural situations.
Operate a variety of office equipment, including computer and appropriate software.
Type 55 words net per minute from clear copy.
Learn and apply District, state and/or federal government policies, rules and regulations to
assigned activities.
Make arithmetic calculations quickly and accurately.
Communicate effectively both orally and in writing.
Establish and maintain cooperative and effective working relationships with others.
Multi-task in a high traffic office; plan and organize work independently; meet schedules and
timelines.
Train and provide work direction to others.
Work confidentially with discretion.
Triage students and staff in order to refer to appropriate personnel or outside agency depending
on presenting issues or conditions.
Determine appropriate means for advertising and recruiting program participants.
Creatively resolve problems by utilizing on and off-campus resources.
Demonstrate sensitivity to and understanding of diverse academic, socioeconomic,
cultural, ethnic and disability issues.
EDUCATION AND EXPERIENCE:
Education and experience equivalent to graduation from high school and one year of directly
related work experience.
LICENSES AND OTHER REQUIREMENTS:
Positions in this classification may require a valid California driver license. This position requires

CPR/First Aid certification.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not assigned permanent staff to supervise. Provides work direction to student workers and/or
temporary staff.
CONTACTS:
Medical Physician, Nurse Practitioner, RN’s, Marriage Family Therapist Supervisor, MFT interns,
students, staff, faculty, medical providers,, insurance carriers, medical and billing offices and
community agencies, and the general public.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping, occasional light
lifting and carrying of objects weighting 25 pounds or less; light to moderate repetitive use of
computer keyboard, mouse or other control devices; ability to travel to a variety of locations on
and off campus occasionally, as-needed to conduct district business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups of
individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities; ability to appropriately respond to
emergency situations on an as-needed basis.
WORKING CONDITIONS:
Primarily medical office equipment; frequent exposure to hazardous materials such as
bloodborne pathogens, bacteria, virus’; occasional exposure to solvents and other toxic
chemicals and substances; frequent to constant contact with and interruptions by individuals in
person or by phone; intermittent exposure to impatient, angry and/or verbally aggressive
individuals; may be required to work at any district location during day and/or evening hours
including occasional weekends on an as-needed basis.
