CLASS TITLE:
ECE OFFICE SPECIALIST
BASIC FUNCTION:
Under the direction of the Center Director, maintain responsibility for administration and
operations of the office of the Child Development Center; perform responsible and specialized
secretarial and clerical support and administrative assistance duties necessary to operate the
Child Development Center in the absence of the Director.
REPRESENTATIVE DUTIES:
1. Coordinate Center operations by providing administrative assistance in researching
technical subjects, compiling reports and summaries and providing accurate and timely
information as requested; interpret and explain applicable legislation, education code,
policies and procedures to program staff and others according to established guidelines;
update and maintain policy and procedure manuals.
2.
Provide information concerning program activities, special events, policies and procedures;
establish and maintain positive staff and public relations; insure appropriate liaison with
related community agencies.
3.
Prioritize and organize work load to perform duties in the most timely and efficient manner;
arrange and schedule a variety of meetings and conferences; establish and maintain filing
systems.
4.
Assist Center Director with special projects and events, including campus and community
activities, as required; represent Center Director at District, community, regional and State
functions as requested.
5.
Collect and compile statistical and financial data and other information for inclusion into
special and periodic reports; revise schedules, reports, records and other information as
necessary; use computer systems to prepare reports, correspondence or records using a
high degree of independent judgment.
6.
Communicate with District personnel and outside sources to resolve problems, schedule
meetings, provide or receive information, schedule maintenance and repair of equipment;
maintain the confidentiality of sensitive information.
7.
Order and maintain office/Center supplies; prepare and process purchase requisitions
according to approved procedures.
8.
Maintain budget balances; monitor expenditures of funds; maintain billing system of Child
Development Center as required; prepare and send statements to participating families;
forward bills to Bursar’s Office; review accounts and follow up on discrepancies; implement
established procedures to assure payments are made in a timely manner.
9.
Perform related duties as assigned.

Modern office practices, procedures and equipment including advanced operations and
techniques of word processing and computer programs;
Research methods, report writing and record-keeping techniques;
Correct English usage, grammar, spelling, punctuation and vocabulary;
Oral and written communication skills;
Applicable sections of State Education Code, Title 5 and Title 22 regulations, and other applicable
laws and regulations;
ABILITY TO:
Assist Center Director with full range of activities which may include State, community or District
committees, special events or projects and community and campus cultural activities;
Learn, understand, and apply the terminology, technical subject matter, objectives, goals and
precedent of the Child Development Center operation.
Communicate effectively with students, staff, faculty, administrators, parents, community
members and State representatives, both orally and in writing.
Learn to interpret, apply and explain rules, regulations, policies and procedures; analyze
situations accurately and adopt an effective course of action;
Operate a variety of office equipment including word processor, typewriter and computer
terminals; use a variety of computer software to perform complex reporting, secretarial and data
entry tasks;
Understand and follow oral and written directions; meet schedules and timelines;
Establish and maintain cooperative and effective working relationships with others;
Plan and organize work with constant interruptions; train and provide work direction to others;
Maintain records and prepare reports; make arithmetic calculations quickly and accurately;
Type at 60 words net per minute from clear copy;
Work independently and confidentially with discretion.
EDUCATION AND EXPERIENCE:
Equivalent to: Associate in Arts degree or two years of college-level coursework or formal
training beyond high school, and closely related work experience, including computer and word
processing applications.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Coordinate efforts and provide supervision of student assistants and Campus Aides performing
tasks related to Child Development Center administration and operation.
CONTACTS:
Co-workers, other departmental staff, students, faculty, District/campus officials, personnel from
related community agencies, the general public and Center parents and families.
PHYSICAL EFFORT:
Frequent standing, walking, bending and stooping; occasional lifting and carrying of objects
and/or children weighing 50 pounds or less.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving appropriate interactions
and communications, including negotiations and conflict resolution, with a variety of individuals
and/or groups of individuals from diverse backgrounds including children, personally, by phone

and in writing on a regular, on-going basis; ability to work effectively on a variety of tasks
concurrently while meeting established deadlines and changing priorities; ability to appropriately
respond to emergency situations on an as-needed basis.
WORKING CONDITIONS:
Primarily works in indoor Child Development Center (office) environment; intermittent exposure
to hazardous materials such as bloodborne pathogens, bacteria, virus' and other substances
which may require use of protective gloves; subject to constant personal contact with and
interruption by program staff, students, parents, and children; majority of assignment worked
during daylight hours. Appointment may include assistance in Child Development Center
classrooms.
