MIRACOSTA COLLEGE CLASS TITLE: SECRETARY CLERK I - COUNSELING BASIC FUNCTION: Under the direction of an assigned supervisor, perform general clerical and typing work according to specific routines; maintain records, answer telephones, make appointments, answer general questions in person and on the phone. DISTINGUISHING CHARACTERISTICS: Incumbents perform routine clerical duties under immediate supervision; Secretary Clerk II positions are assigned a wide variety of typing and clerical duties. Incumbents work within a framework of established procedures with only occasional instruction or assistance. The Secretary Clerk III is the advanced level classification in the Secretary Clerk series. Incumbents must possess thorough knowledge pertinent to their assignment and serve as a resource to other District personnel. Incumbents may be assigned as sole clerical support to a specialized function or may work in a lead capacity to clerical personnel and student workers. The Secretary Clerk I in Counseling also makes appointments and answers general questions in person and on the phone. REPRESENTATIVE DUTIES: 1. Answer telephones, route calls; take messages; greet visitors, schedule appointments, provide routine information and assistance to students, faculty and the general public. (E) 2. Enter and update computer records as assigned. (E) 3. Perform variety of clerical work including typing, proofreading, filing, verifying and posting attendance information on records. (E) 4. Post and maintain routine records, logs and files; sort and file materials alphabetically or numerically. (E) 5. Duplicate a variety of items, as assigned; distribute materials as appropriate. 6. Substitute for absent employees as required. 7. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: District organization, operations, policies and objectives. EDUCATION AND EXPERIENCE: High school diploma or equivalent and one year closely related experience. WORKING CONDITIONS: Primarily works in an office environment. May work at any district location or authorized facility during day and/or evening hours with occasional evenings, and/or weekends on an as-needed basis. Occasional local travel may be requested.
