CLASS TITLE:
SECRETARY CLERK II – VETERANS SERVICES
BASIC FUNCTION:
Under the direction of an assigned supervisor, perform a variety of clerical duties of average
difficulty including typing, filing and answering telephones; maintain records, database, and files.
DISTINGUISHING CHARACTERISTICS:
Secretary Clerk II positions are assigned a wide variety of typing and clerical duties. Incumbents
work within a framework of established procedures with only occasional instruction or assistance.
Incumbent works under the direction of the Coordinator, Veterans Services. Performs a wide
variety of secretarial support duties for the Veterans Center. Communicates between the
coordinator, counselors, staff, students, the public, or other District or college officials; serves as
the initial contact for students regarding the Veterans Center services and information; maintains
and schedules counseling appointments in the SARSGRID program. Screens students to
determine time allotment required when scheduling counseling appointments and whether
evaluation of prior credit is needed before appointment; answers questions and provides
information to students and the public on MiraCosta policies, regulations and procedures;
completes request forms for evaluation of prior credit for students who require educational plans for
the Veteran’s Administration Maintains confidential student record information. Monitors the
student and computer lounge in the Veterans Center. Provides work direction to others as
assigned.
REPRESENTATIVE DUTIES:
1.
Perform a wide variety of clerical work including typing, proofreading, filing, verifying and
posting information on records, web pages, database, and social media. Type letters,
memoranda, newsletters, reports, and other materials from oral direction, rough draft or
copy.

Greet visitors, answer telephones and schedule appointments; provide routine and
specialized information and assistance to students, faculty, community partners and the
general public. [E]

Prepare, verify and maintain records and reports; compile requested information and
prepare basic statistical reports; maintain a variety of files. [E]
4.
Assist in ordering and maintaining adequate stocks of office supplies and departmental
forms.
5.
Prepare marketing and informational packets: assemble, duplicate, package, and distribute.
Create promotional materials for workshops and events; post information to bulletin boards,
kiosks, and other prominent areas.
6.
Provide training and work direction to student workers as assigned.
7.
Assist in the planning and implementation of special events and projects. [E]

EDUCATION AND EXPERIENCE:
Education equivalent to graduation from high school and one year of closely related work
experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California drivers license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not applicable -- no assigned staff to supervise.

PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at computer for
extended periods of time, including repetitive use of computer keyboard, mouse or other control
devices; ability to travel to a variety of locations on and off campus as needed to conduct district
business.

Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily works in an office environment. Subject to frequent interruptions by individuals in
person or by telephone, intermittent exposure to individuals acting in a disagreeable fashion.
May work at any district location or authorized facility during day and/or evening hours with
occasional evenings, and/or weekends on an as-needed basis. Occasional local travel may be
requested.
