POSITION DESCRIPTION TITLE: EXTENDED TITLE; FLSA STATUS: Supervisor Property Control Supervisor Exempt CATEGORY: Professional GRADE: C JOB SUMMARY: Provide coordination, organization, planning, and ensure accuracy and reliability of equipment management by Property Control. Develop, implement and monitor physical inventory activity to include internal asset accountability controls, transfers, and ultimate disposable of tangible personal property owned or controlled by the District. Ensure proper warehouse management to include; storage, reallocation, and disposition of surplus property and management of District-wide departmental storage. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 20% 1. Assist Director in providing staff direction to meet operational deadlines; coordinate processing of District physical inventory activities, assign cost to institutional and grant funded personal property. 2. Comply with District policies and procedures to maintain and track property. Adhere with state and federal reporting requirements in reconciling the acquisition, deletions and cap-leases. Manage, monitor and coordinate the cyclical District-wide physical inventories. 15% 3. Process all capitalization entries and related documents for accuracy, integrity and compliance. Develop, identify, and execute special reports and queries for internal and external needs. 15% 4. Assure integrity of the District’s tracking system software for complete asset accounting and asset management. Track location, quantity, condition, maintenance and depreciated of District property. Assign property responsibility to building heads and identify improved processes. 15% 5. Oversee warehousing activities designed to maximize storage capacity, efficiency and effectiveness of operations. Manage warehousing items for Public auction sales and/or reallocation. 15% 6. Analyze and review, expend and modify department, inventory, software and hardware programs to increase operational effectiveness, work flow or to adapt to new system requirement. 10% 7. Identify improved operations, define work tasks, identify and recommend solutions to inventory system applications. 5% 8. ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s Degree. EXPERIENCE: Three (3) years related experience. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Excellent organizational, communication and leadership skills. Ability to interact with individuals at all levels of the institution, vendors, service providers and general public. Demonstrated supervisory skills. Ability to manage multiple projects simultaneously and strong accounting experience related to Fixed Assets Accounting. 2. Equipment Used: Personal Computer and other equipment associated with an office environment. 3. Software Used: A variety of spreadsheet, word-processing, database, e-mail, and presentation software.
