POSITION DESCRIPTION TITLE: FLSA STATUS: Property Control Assistant Non-Exempt CATEGORY: GRADE: Classified D JOB SUMMARY: Assist in establishing, monitoring internal accounting controls governing the accountability, transfer and ultimate disposal of tangible personal property acquired by the District through institutional or grant funded resources. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 25% 1. Receive, organize and compile information for inventory; input data into software system; monitor and maintain inventory record and data; ensure accuracy and compile procedures. 2. Conduct physical inventory of equipment throughout the District; monitor and maintain physical inventory, verification and tagging of equipment; assist with monthly financial schedules. 25% 3. Maintain warehouse operation; include receiving, processing inventory and distribution of equipment; manage and prepare for public sales of obsolete equipment. 10% 4. Provide training and work direction to new employees, answer phones, take messages and responds to or refers questions and follows-up when appropriate. 10% 5. Provide fixed asset information to departments and general public regarding fixed asset acquisitions, transfers, disposition and retirement of equipment. 10% 6. Develop appropriate spreadsheet ad-hoc reports, routing utilizing system report writes and submit programming request to produce necessary reporting needs for departments. 10% 7. Prioritize workload according to deadline on fixed assets, categorize, process detail fixed assets information on District’s software tracking system. 5% 8. CERTIFICATIONS/LICENSURES: Valid driver license and forklift operator license. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Ability to understand principles of accounting, detailed oriented. Ability to conduct inventory and warehouse functions. Ability to collaborate and work with internal departments. 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software.
