ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 30% 1. Coordinate with immediate supervisor, mid and upper management, announcement/ advertisements for employment; finalize the recruitment efforts and ensure the advertising distribution; respond to correspondences for inquiries related to employment and notify applicants of outcome of selection process. 2. Ensure that the employment selection process is followed, that documentation for each position is submitted and authenticated, that policies, procedures and laws related to employment are followed; and prepare recruitment reports for management. 20% 3. Manage the District’s applicant tracking process and ensure that all application materials are processed in a timely manner, that proper correspondence is sent to applicants and/or the applicants are contracted regarding incomplete application materials. 15% 4. Coordinate and conduct orientation sessions for groups and individuals from immediate supervisors to upper management and community experts that will participate in the evaluation committees; outline committee’s and/or party’s responsibilities and policies and procedures; answers questions, provide timelines for selection process, and provide direction/guidance for new individuals assigned to evaluation committees. 15% 5. Compile statistical data to include new hires, extensions of employment, promotions or title changes, reclassifications, education advancements, resignations and retirements; supervise the personnel section of the agenda for the Board of Trustees and ensure the accuracy of all entries; ensure that proper documents (contracts/memos) are prepared for each entry approved by the Board of Trustees. 10% 6. Authenticate INS I-9 forms for all new employees; review all documents for correctness and completeness; ensure that all employment documents are provided to the pay section for processing; mange I-9’s that will expire through use of a tracking and follow-up system. 5% 7. Manage the hiring of temporary employees; coordinate with external agencies to ensure that District demands for temporary employees are met; coordinate supervisor’s temporary employee needs and negotiate pay rates with external agencies to accommodate supervisor’s budget. 5% Revised: 6/1/11 Page 1 of 4 REPORTING RELATIONSHIP: Associate Director, Human Resources SUPERVISORY RESPONSIBILITIES: Direct supervision of assigned staff. ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s degree in Human Resources or related field. EXPERIENCE: Five (5) years related experience. CERTIFICATIONS/LICENSURES: Must have a valid driver’s license. SPHR or PHR desired. SPECIAL SKILLS AND ABILITIES: 1.
