POSITION DESCRIPTION TITLE: FLSA STATUS: Director of Auxiliary Services Exempt CATEGORY: GRADE: Administrative C JOB SUMMARY: Responsible for managing the operation of Auxiliary Services to include Property Control, Shipping and Receiving, Mail Services, Instructional Services Centers (ISC’s), campus bookstores and cafeterias, and district-wide vending operations. YEARLY ESSENTIAL FUNCTIONS: PERCENT OF TIME 1. Plan, design, and implement new or modified operational policies and 25% procedures to support efficient and effective operations; assess short and longterm departmental/District needs; develop strategies and direct staff regarding allocation of resources and overall auxiliary support services. 2. Develop, administer, and monitor approved budgets; direct, manage, and provide support for both operations and services; direct and evaluate contract management for the various operations and optimize vending revenues for the District; evaluate pricing methods used by ISC’s and mail service. 15% 3. Ensure compliance with state and federal reporting requirements concerning tangible property acquisitions, deletions, and capital leases; prepare schedules for month-end and year-end reporting of real and personal property; plan and implement adoption and development of an accounting system to control the acquisition, disposition, transfer, and retirement of the District’s tangible fixed assets; implement update changes to the system as necessary; support grant funded property rules and regulations. 10% 4. Develop necessary appropriate procedures to address internal control weaknesses regarding the safeguarding of the District’s property and communicate the information as necessary to Budget Heads every two years; Assign responsibility for property and at least annually distribute equipment reports to department heads. 10% 5. Evaluate capitalization procedures for real and personal property; develop and establish useful lives for depreciable assets to comply with GASB Statement 34 in reporting all capital assets; reconcile subsidiary records of property with the Banner General Ledger accounts. 10% 6. Plan and guide the professional development of assigned personnel by providing direct supervision support, coaching and performance evaluations, and direction of the day-to-day Auxiliary Services. 10% 7. Develop, implement, monitor, and evaluate internal and district procedures related to assigned areas. Ensure that District policies and procedures, other applicable laws, and regulations are followed to guide the strategic and tactical operational and effectiveness of the department. EXPERIENCE: Five (5) years SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Must possess and understanding of general office practices, to include computer literacy, organizational skills, and strong interpersonal/communication skills (oral and written). Must possess effective problem solving skills in a variety of circumstances and diverse populations and the skills and ability to manage personnel and operations of a department. Must be detail oriented and have the ability to interpret data and apply accounting theories according to Generally Accepted Accounting Principles; must have ability to read, analyze and interpret state and federal regulations. 2. Equipment Used: Personal computer, fax telephone, copier and other equipment associated with a general office environment. 3. Software Used: a variety of word-processing, spreadsheet, database, e-mail and presentation software.
