SERVICE TEAM / UNIT:
Activities & Volunteering (A&V)
HOURS OF WORK:
The post is for 36.5 hours per week (for 44 weeks
per year in line with term times) and will include
some evening and weekend working for which TOIL
will be granted
KEY WORKING RELATIONSHIPS:
The post involves considerable liaison with students,
Guild and University staff, external stakeholders,
various media and corporate sponsors.
KEY RESPONSIBILITIES:
1. To provide support, advice and information to student volunteers within the Music
community.
2. To ensure that the student experience within the ExTunes community is of the highest
possible quality and that students get as much as they possibly can out of their volunteering
experience
3. To monitor and oversee, in liaison with the Activities & Volunteering (A&V) Managers, the
use of finance for student projects, developments and tuition
4. To promote a sense of cohesion and community amongst the component parts of the
Activities Unit
5. To support A&V colleagues in cross-departmental projects
6. To undertake any other reasonable duties and responsibilities as required by the A&V
Manager
DESCRIPTION:
1. Provide support, information and advice to student volunteers within the Music
Community

Provide training pertaining to event & stage management, music technology and other specialist
training required by music society committees

Ensure risk assessments for student led activities have been completed as appropriate in
conjunction with the Events, Health & Safety Manager and the Sound & Technical Co-ordinator

Attend relevant meetings including: ExTunes Committee and the societies mini-forums

Support students wanting to affiliate new student musical societies

Advise music volunteers on a day to day basis and ensure adequate handovers are in place when
new volunteers take over specific roles

Ensure that all projects, volunteers and workers are aware of and adhere with the Guild’s
financial procedures and policies, and other policies as relevant

Liaise with students and with Guild Marketing & Communications team to ensure positive media
(in-house and external) coverage of activity

Work alongside the A&V Manager to identify new opportunities for student engagement within
the student-led music community

Build contacts within the local community for students wanting to continue tuition at University
2. To ensure the volunteer experience within the ExTunes community is of the highest
possible quality and that students get the most out of their volunteering experience

Assist the A&V Desk in their role as focal point of day-to-day student activities enquiries,
ensuring that referred requests for information are dealt with promptly and efficiently

Have a good working knowledge of the Guild constitution and the annexes and policies relating
to the relevant areas supported by this role, and to provide advice and information to students
on these policies

Monitor external service providers and advise the A&V Manager where better value for money
could be identified

Ensure that all ExTunes society compliance paperwork is kept up to date

Support the delivery of Music Week, alongside ExTunes student leaders

Support the delivery of cross-society collaboration projects, enabling students to lead quality
activities for their personal development

Work alongside the A&V Manager in the roll-out of a volunteer monitoring database
3. To monitor and oversee the use of finance for society grants, music tuition and
equipment purchase/maintenance

Provide regular financial reports on ExTunes society financial transactions

Support the Societies Executive in the distribution of funds for Music Society activity

Assist the A&V Manager in the construction of a new Music Tuition Funding model

Advise the A&V Manager on required expenditure for equipment purchase or maintenance
4. To promote a sense of cohesion and community amongst the component parts of
the Activities Unit

Ensure effective information sharing between ExTunes and the rest of the A&V student-led
activity groups

Help raise awareness of cross-departmental priorities across all A&V teams within the ExTunes
community
5. To support A&V colleagues in cross-departmental projects

Attend Activities & Volunteering team meetings as and when required

Play a role in the successful development and completion of large scale ‘whole unit’ projects such
as National Student Volunteering Week, Launch and Freshers Week
6. To undertake any other reasonable duties or responsibilities as required by the
Deputy A&V Hub Manager and the A&V Manager

Agree specific annual targets with the A&V Manager and attend regular supervision meetings

Work with the Events, Health & Safety Manager on the planning and compliance of large scale
events

CRITERIA
QUALIFICATIONS, TRAINING AND EXPERIENCE
Good general education, typically to the
Higher/A level equivalent
University/College Degree
Voluntary or employed experience in a similar
field
Proven experience of instigating development
Experience of managing a team of volunteers
Demonstrable experience of working within a
student market
SKILLS, KNOWLEDGE AND ABILITY
Knowledge of role of student volunteering
Organising and staging musical events for an
audience
Experience in production management
Skilled in interpreting data – particularly
financial
Computer literacy – Microsoft XP
