Workers in Student Community Volunteering (WiSCV) Annual General Meeting Saturday 8th March, Yarnfield Park Conference & Training Centre 1. Minutes from the last AGM It was agreed that the minutes were an accurate record of the last AGM. 2. Chairs Report (see presentation for information) The Chair presented on the past years activities for WiSCV and plans for the future. The Communications Officer updated the members on committee communications. It was requested that members feedback on information they would like to see in the workers pack. It was asked whether confirmation of the free VE membership would be sent to members. Amanda Bickerton confirmed that a confirmation email was posted on the database. Any members who were not on the list but believe they should be, should contact VE directly. 3. Treasurers Report (see presentation for information) The Fundraising and Development Officer presented this year’s committee expenditure. It was asked where the estimated expenditure for the remainder of the year will be spent. Andy Coppins confirmed that this would be spent on the handover and the costs of travel for the final committee meeting. It was confirmed that WiSCV received funds from the Volunteering Hub this year. The Volunteering Hub is one of the national hubs of expertise described in the ChangeUp strategy. Volunteering England is the accountable body for the Volunteering Hub. 4. Motions Update on VE & WiSCV Partnership Agreement Updates on the partnership agreement were proposed. Please see paper for amendments. Jamie Darwin commented that there may still be a need in the future to develop a WiSCV working group. It was agreed that this could be the case in the future but at the moment a working group was not felt necessary. It was noted that even without this clause in the agreement that WiSCV could still set up a working group and review the agreement at that point. As a result it was suggested that the clause be replaced by the following “VE should consult with WiSCV on policy matters” rather than deleted completely. CARRIED: WiSCV to update agreement in line with recommendations. Review of WiSCV National Committee Role A restructure of committee roles was proposed. Please see paper for information. It was suggested that in light of the need for more emphasis on policy issues and the database management being handed over to the secretary, that the communications officer should be redefined as Communications and Policy Officer. It was highlighted that VE should be providing admin support for the committee as agreed in the partnership. Therefore there should not be a need for WiSCV to have a secretarial role on the committee as proposed. The committee highlighted that in practice, although VE have been providing administrative support, it was helpful to have the database managed by a committee member to act as gatekeeper for the mailbase to keep control over the membership registration. It was also highlighted that sometimes VE were unable to attend meetings so it would be convenient to have a member of the committee responsible for minutes ensuring timely publication of information on the web. VE would still provide the committee with admin support by managing the website information and providing support at conference etc. CARRIED: WiSCV to update role descriptions in time for elections. 5. Election Update (See presentation for timetable) The Research and Marketing Officer provided dates for the upcoming committee elections. 6. AOB Some members felt that Student Volunteering Week and conference fall at a difficult time due to other work priorities. It was discussed about the possibility of changing it to the first term. Some members also highlighted that they felt that it was at a good time of year for them. It was agreed that WISCV would undertake a piece of research on the mailbase to find out the consensus on the timing of SV Week and conference. 7. Raffle draw! Congratulations to the winners!
