CLASS TITLE:
SECRETARY/CLERK II – WRITING CENTER
BASIC FUNCTION:
Under the direction of an assigned supervisor, perform a variety of clerical duties of average
difficulty including typing, filing and answering telephones; maintain records, database, and files.
DISTINGUISHING CHARACTERISTICS:
Secretary Clerk II positions are assigned a wide variety of typing and clerical duties. Incumbents
work within a framework of established procedures with only occasional instruction or assistance.
Those assigned to the Writing Center maintain a positive work environment greeting students,
faculty and community partners and by helping students differentiate among and select
appropriate services. Explain/enforce Writing Center policies and refer unusual situations or
requests to the Specialist or Faculty Director. Maintain writing feedback paraprofessional
schedules using appointment scheduling software (SARS GRID) and verify/reconcile payroll.
Interact with Academic Information Systems (AIS) to maintain computing operations at Writing
Center stations and interact with HUB departments. Maintain the department calendar.
REPRESENTATIVE DUTIES:
1.
Perform a wide variety of clerical work including typing, proofreading, filing, verifying and
posting information on records, website and database. Type letters, memoranda,
newsletters, reports, and other materials from oral direction, rough draft or copy.

Greet visitors, answer telephones and schedule appointments; provide routine and
specialized information and assistance to students, faculty, community partners and the
general public. [E]
3.
Prepare, verify and maintain records and reports; compile requested information and
prepare basic statistical reports; maintain a variety of files. [E]
4.
Assist in ordering and maintaining adequate stocks of office supplies and departmental
forms.
5.
Prepare marketing and informational packets: assemble, duplicate, package, and distribute.
6.
Provide training and work direction to student workers as assigned.
7.
Assist in the planning and implementation of special events and service projects. [E]
8.
Plan, prepare, and attend departmental meetings. Take and transcribe minutes.
9.
Perform related duties as assigned.

Type at 45 words net per minute from clear copy.

EDUCATION AND EXPERIENCE:
Education and experience equivalent to graduation from high school and one year of closely
related work experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California drivers license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not applicable -- no assigned staff to supervise.

PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at computer for
extended periods of time, including repetitive use of computer keyboard, mouse or other control
devices; ability to travel to a variety of locations on and off campus as needed to conduct district
business.

Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on

responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.

Primarily busy office environment; subject to frequent contacts and interruptions by individuals
in person or by phone; intermittent exposure to angry and/or verbally aggressive individuals;
may be required to work at any district location or authorized facility during day and/or evenings
hours including occasional weekends on an as-needed basis.
