Job Summary: This job assists in a variety of accounting functions, including maintenance of documents, recording fiscal transactions, securing of funds, collections, and data entry. Scope of Responsibility: Incumbents make routine choices within established procedures, and perform basic troubleshooting to reconcile account balances and inquiry to obtain missing information or verify unusual data. Work is relatively independent, with supervision available to address non-routine questions. Incumbents follow general instructions from the supervisor when handling new situations, problems, or deviations from established work procedures. Incumbent has a limited degree of latitude to determine the best way to perform required duties. Essential Duties and Responsibilities: 1 Performs standard and specialized accounting support and related tasks, assisting in the maintenance of documents, recording of fiscal transactions, securing of funds, and data entry. 1.1 Checks and verifies cost accounting, account payable records; 1.2 Reviews invoices and vouchers; 1.3 Reconciles bank statements monthly; 1.4 Assists with the posting of ledger and general journal entries, and/or the balancing of accounts payable and accounts receivable records; 1.5 Uses office automated systems to input data, generate reports, conduct specialized research projects and respond to inquiries. 1.6 Calculates and submits cash requests to governmental agencies and/or private donors; 1.7 Serves as the collections agent for the Agency for lease payments, rent, contract for deed, and car loans; 1.8 Assists in reviewing and approving daily deposits and adjusting journal entries; 1.9 Establishes and maintains the Accounts Receivable Data Base; 1.10 Codes receipts for data entry; 1.11 Establishes reoccurring accounts payable entries; 1.12 Assists with the preparation and data entry of Agency budgets; 1.13 Provides backup for payroll preparation. 2 Provides administrative support. 2.1.1 Responsible for weekly reports as scheduled or requested; 2.1.2 Records and keys in-kind contributions, referrals and documentation for the agency; 2.1.3 Performs data entry for fiscal and client information; 2.1.4 Maintains files, batches forms and routes documents in a manner consistent with system procedures; 2.1.5 Assigns board voucher numbers and maintains vehicle insurance verification file; Bi-County CAP, Inc. JOB CLASS DESCRIPTION Page 2 of 3 Account Technician III 2.1.6 2.1.7 Assists with the set up and maintenance of the records in the Grants Management System; Assists in updating and maintaining Fiscal Policy and Procedures; 3 Communicates courteously and professionally and maintains working relationships with others in carrying out job functions. 3.1 Frequently interacts with others in the work unit and across departments to exchange detailed and/or technical information; 3.2 Occasionally interacts with the public and vendors to exchange detailed and/or technical information; 3.3 Keeps immediate supervisor informed of all problems, brings unusual or extraordinary matters of significance to his/her attention so that corrective action can be taken where appropriate; 3.4 Adheres to agency’s policies concerning data privacy. 4 Performs all job duties in compliance with safety guidelines and with an ongoing awareness of safety practices. 4.1 Knows and follows organization’s rules as well as sound work and safety practices in order to accomplish the job objectives and avoid injury or loss; 4.2 Wears proper protective equipment when policy requires or conditions indicate a need exists and utilizes proper body mechanics and ergonomics while performing work; 4.3 When potentially unsafe conditions are observed makes efforts to avoid or correct them if they are controllable and draws them to the attention of the responsible supervisor or safety representative in a timely manner. 5 Performs other duties and activities as assigned. Minimum Qualifications: The job requires an associate’s degree with specialized education in accounting and two years of related experience in bookkeeping, accounting and payroll, or an equivalent level of education and experience sufficient to perform the duties of the job. Knowledge, skills and abilities include: Knowledge of general accounting and payroll principles and practices; Knowledge of Microsoft Office applications and accounting software; Demonstrated knowledge of fund accounting; Skill at using assertive communication techniques in serving as collections agent; Skill in financial calculations, analysis and reporting; Skill in organization and prioritization of work; Good reading, writing, computer, and communication skills. Ability to communicate and work effectively in a team. Physical Demands & Working Conditions: Work is performed in an office environment. Position requires frequent sitting and occasional bending, kneeling, twisting, and standing. There may be intermittent physical activity, as is required by standard office work, requiring moving or lifting between 5 and 30 pounds. Bi-County CAP, Inc.
