Working across Havas Media Group (HMG) portfolio your role will be to ensure that all new business and marketing opportunities are fully coordinated whilst ensuring the profile of the group is raised and maintained, internally and externally. The role will include working closely with each of the individual agencies New Business & Marketing Head to understand our group strengths. Key Responsibilities: Marketing Daily website updates (wordpress) Daily maintenance of HMG group social platforms, namely LinkedIn and Twitter Work with individual marketing heads on group award entries – coordination, tracking, formatting and submitting Work with HMG events team to support them into production and logistic - coordinating mailing lists, venue and speaker liaison, meeting/greeting Manage mail out and content coordination for monthly newsletter Assist in collating content for marketing collateral: mailers, brochures, videos and ensure consistency and respect of branding Co-ordinate and update company credentials Support the preparation of press releases and other PR activities New Business Work on pitches and ensure the new business machine runs smoothly, quickly and efficiently: follow and maintain the process and best practise that has been put in place from credentials and RFI to chemistry and pitch. Assist in collating content for RFI / RFPs and all other pitch stages: create and maintain a group RFI library so that we have up to date info and each RFI that we do is reviewed post submission so that we are not reinventing the wheel every time Work with the relevant heads of NB and Marketing to create case studies and support material library relevant to the group Maintain/update profile on intermediary websites; Haystack, IPA, AAR Work with the design hub on pitch documents and content Reporting/admin Reporting new business activities on InTouch Maintain weekly/monthly status reports to raise awareness of HMG new business activities within the group Create and maintain a database that shows all the group new business pitches, what has been won/lost for mid-year and end of year review Database updates: maintain client list, client team, media owner, intermediaries and third party lists Coordinate the HMG quarterly team meetings Coordinate expenses and update the new biz/marketing budget Diary management, travel booking, printing/binding and final touches for pitches Key areas of ownership Be 100% aware of new business process and good practise, credentials, RFIs Fully understand what each operation companies within HMG stand for Ensure that you have your finger on the pulse of new business externally, emerging trends, what is happening globally at HMG, keep reading and learnings so that we can constantly improve our process and way of working Who we’re looking for: A confident self-starter with a can-do attitude and the ability to work under pressure A team player who shows willingness to support the department and their ‘one team’ ethos Friendly but able to push back and enforce deadlines Follow best practice and keep everyone in the loop; great communicator Confidence to be able to deal with the most senior level clients and internal talent A high energy, positive, can-do person who is always looking for ways to improve what we do Someone who makes things happens and likes to be accountable Proven organisational skills and work in an agile and accommodating way Ideal Experience: Will have worked either in the marketing services sector including agency or media owner background, or alternatively in a blue chip sales orientated industry. Basic knowledge of WordPress or other website management platforms (ideal but not necessary) Confident and used to working with lots of stakeholders at all levels Able to coordinate lots of people and projects and working in a process Strong Office Suite skills – in particular PowerPoint, Excel and Word
