JD Supply Network Tooling & Bailment JD Supply Network Tooling & Bailment What is JDSN Tooling & Bailment? JDSN Tooling & Bailment is a web-based, interactive application within JD Supply Network that allows the John Deere business units to track tooling purchase orders associated with the tooling. The application provides suppliers the ability to update a database with tooling information and respond to acknowledgement requests. At the beginning of each month the system will send the Tooling Coordinator, at the supplier, information about tooling that John Deere has paid for during the previous month. Suppliers are asked to acknowledge that John Deere owns the tooling that physically resides in their facility. Information the supplier is required to provide includes: Approximate Tooling Life Percentage of John Deere Ownership Annually, the system will send the Tooling Coordinator, at the supplier, an inventory list of all tooling and request that the supplier verify the status of the tooling. Information the supplier could provide includes: Address where tooling physically resides (if different than PO address). Supplier tool number. Tooling manufacturer (if the supplier didn’t make the tooling themselves). Life expectancy of the tool (to determine when rebuild of the tool is needed). Submit a drawing of the tool. Who Uses JDSN Tooling & Bailment? John Deere suppliers that use tooling owned by John Deere, but resides at the supplier will use the application to update tooling information and respond to acknowledgement requests. John Deere Tooling Buyers, Employees and Suppliers that have an authorized Deere userid can access the Tooling & Bailment application. Display the JD Supply Network page. This page is located at http://jdsupply.deere.com 2. Position the mouse over the Business Processes tab and click on the Order Fulfillment link on the mouse-over menu. You can also click the Business Processes tab to display a page listing the mouse-over menu options. 3. Click the Supplier Tooling link. 4. Click the Web Application link to display the Sign In page. Another Option: You may also point to Suppliers in the workspace on the left side of the JD Supply Network home page and click on Supplier Tooling. 5. Type your userid (i.e., ou12345) in the User Name box. 6. Click in the Password box and type your password. 7. Click the Submit button. Click the Main Menu drop-down and select one of the options to display the desired page. Date Fields You may type dates or select them using the Calendar buttons. You must type the date using the DD/MMM/YYYY format. If an error occurs, the field with the incorrect information will also be highlighted in red. Click the message number link to display specific information about the message. Click the Outstanding Tooling Acknowledgements link on the Tooling & Bailment Main Menu to display a list of requested acknowledgements. 2. Enter the Approximate Tooling Life and Percent of JD Ownership. Approximate Tooling Life represents the anticipated future life of the tooling. Measurement options are Pieces, Months and Years. 3. Click an item’s checkbox in the Select All column to acknowledge individual items or click the Select All checkbox to acknowledge all tooling on the list. 4. Click the Acknowledge JD Ownership button located at the bottom of the list. The asterisk identifies required fields. Display the Outstanding Tooling Acknowledgements page and locate the desired item on the list. 2. Click the PO Item Number link to display the Detail page. The Tooling Details page opens in a new browser window. Click the close button at the bottom of the Tooling Details to close the window and return to the Outstanding Tooling Acknowledgements list. Use the steps listed below to edit the tooling detail. 1. Display the Outstanding Tooling Acknowledgements page, locate the desired item on the list and click the Edit Tooling Information button (green box) to display the Edit Tooling page in a new browser window. 2. Make the desired changes. 3. Click the save / submit button. Click the cancel button to close the window and abandon any changes made. If the original JD Part number has been updated, enter the new part number in the Tooling for Current JD Part Number field. Enter the Percentage of JD Ownership. Approximate Tooling Life represents the anticipated future life of the tooling. Measurement options are Months, Years and Pieces. Supplier Tooling ID is the supplier’s identifier of the tool. Tooling for Supplier Part Number is the supplier’s identifier for the part made with the tool. When tooling needs to be scrapped, choose Yes in the Requested to Scrap field and enter the appropriate date for Tooling Scrap Date. The system sends an email notification to the appropriate John Deere Buyer. Tooling Manufacturer Details should include the information about the company that manufactured the tooling (if the supplier did not make the tool themselves). Price Details and Payment Details are completed by the system and cannot be edited. Comments are saved when you click the save/submit button at the bottom of the page. New comments are added to the Supplier Comments list noting the creator and the date they were added. To delete a comment, click the checkbox in the Delete field of the comment you want to delete. Comments are deleted when you click the save/submit button. Adding / Deleting Attachments Additional information may be included on the Acknowledgement in the form of a file attachment. File types that may be attached include .doc, .xls, .csv, .txt, .gif and .jpg. To add a file attachment, either type the exact file path and name of the file in the Add New Attachments field, or click the Browse button to navigate to the file and select it. The attachment is added when you click the save/submit button at the bottom of the page. To delete an attachment, click the checkbox in the Delete field of the attachment you would like to delete. Attachments are deleted when you click the save/submit button. Search results display below the search table and allow you to view tooling details, edit tooling information or download the search results to an Excel file. Use the steps listed below to search for tooling. 1. Click the Tooling Search and Update link on the main menu to display a search table. 2. Enter the desired information in the search fields, or accept the default settings to see a complete list of all tooling. 3. Click the retrieve button. Click the reset button to clear the search fields. Click the download button to download the search results to an Excel file. The supplier is asked to verify the status of the tooling such as location, life of the tool, and part numbers being produced with the tooling. The inventory list does not include tooling that is scrapped or revised to a new part number. 1. Click the Tooling Annual Renewal link on the main menu see a complete list of tooling for all units. The Tooling List displays 25 rows at a time. If more data exists, click the next button at the bottom of the list to see the next 25 rows. To view the Tooling List for a particular unit, select it from the Unit drop-down list and click the retrieve button. Contact additions and changes are reflected in Supplier Profile. The contact with the Business Role of Tooling Coordinator will receive the tooling correspondence and annual notification messages. Select the Supplier Contact link from the main menu to view a complete list of contacts for the supplier. After reviewing the contact information, click the verify button to confirm the accuracy of the information shown in the list. The date of last verification and the userid of the person verifying the information displays. Select the appropriate Business Role for the contact person. A contact may have multiple Business Roles, but you may only select one Business Role at a time. To add multiple Roles, select the first Role, save the contact record, and then edit the record to add another Role.
