WILLIAM BRADFORD COMMUNITY COLLEGE Support Team Receptionist Job Description Part-time Contract to cover Maternity Leave Post Title: Receptionist Salary: Grade AO4 pt 6 – 8 (equates to £6.28 per hour on a fixed term contract basis) Hours: 1.00pm – 4.00pm Monday to Friday (term time plus teacher days). Responsible to: Office Manager JOB PURPOSE A contribution to the provision of a comprehensive and seamless support service to the College. FUNCTIONAL RELATIONSHIPS Pastoral, Year Heads, Teaching Staff, ICT Technicians, Parents, Students, Other Support Staff, Local Community, Family of Schools, College Principal, Premises Officers, Catering Staff, EWO, Visitors. DUTIES AND RESPONSIBILITIES 1. Switchboard Operation of a switchboard which involves: Setting up and taking messages from the answer phone; Ensuring messages are taken regularly to the staff room and other relevant places; Connecting callers to the relevant people and ensuring that they are given correct advice and information; Connecting staff to outside calls. 2. Reception Responsible for ensuring that Reception is a welcoming and pleasant place for all visitors' staff and students. Ensuring that visitors sign in and that they are dealt with in a friendly and efficient manner. Accepting parcels and liaising with premises officers for their delivery to the correct areas of the college. Dealing with student enquiries and ensuring they receive the correct advice and information. Monitoring late arrivals of students and ensuring they fill in the late slip. Maintaining a signing out book for students who need to leave the building and ensuring they get permission from their Head of Year and that parents are informed. Maintaining a signing out book for staff leaving the building during day – ensuring an accurate record in event of fire. Maintaining a ‘Box Office’ when necessary by selling tickets for school productions. Keeping bookings for the Meetings Room. Assisting the Community Secretary by filling out enrolment forms and collecting adult class fees. Dealing with community telephone enquiries, including truancy call when necessary. Maintaining a franking machine and ensuring that the post is franked and taken to the post office every day. Organising the collection of mail by the Post Office. 3. Administration Typing of Daily Bulletin for distribution to all students every day, this may involve posting messages on college intranet and plasma screen. General typing for teaching staff when required. Inputting, printing and generating registers and reports relating to attendance (including Attendance Faces). Responsible for keeping the records of all students entitled to a free meal which involves: o liaising with the Free School Meals Department at County Hall; o monitoring the students’ dates and keeping a record in SIMS; o ensuring that their tickets are distributed to them every day; o maintaining a written record of free meals taken every day by liaising with the Catering Manager. 4. First Aid Responsible for administering first aid treatment to all students and staff which may involve; o liaising with the ambulance service; o informing parents; o filling in the appropriate accident forms and ensuring they are sent to County Hall and that Health and Safety are informed. Responsible for the ordering of First Aid equipment and also ensuring that the first aid kits for school trips are kept fully stocked. 5. General To undertake duties elsewhere within the Support Team as required. Such other duties as required commensurate with the grade of the post. The job description sets out the duties of the post when it was drawn up. Such duties may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and cannot themselves justify a reconsideration of the grading of the post.
