Job Description Job Title: Events Assistant (Temporary/Contact) Submit Resume to: Recruiting@spe.org SUMMARY This position is responsible for providing administrative support services to the Event Managers and Event Coordinators. KEY DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned. 1. Maintain competency with in-house computer applications and other software programmes that are applicable to event administration. 2. Perform data entry for event administration. 3. Assist in maintaining records including addresses, telephone/fascimile numbers, and regular updates to the master file, event applicants and registrants, committees, senior executives, exhibitors, contractors. 4. Assist in maintaining records and accurate information for SPE events and meetings statistics. 5. Compose and type routine correspondence. 6. Perform project administrative services e.g. mailing of Call for Papers, Conference Preview, Registration and Application Brochures, etc. for SPE Conferences and Exhibitions. 7. Support meetings staff on-site, as and when required. 8. Regular contact with event committees and meeting venues. 9. Assist the Event Managers and Event Coordinators in special projects as and when required. 10. Perform any ad-hoc assignments whenever required by management. EDUCATION AND / OR EXPERIENCE: Certificate holder and 2-3 years of related work experience or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or one-on-one. Excellent and accurate verbal and written communications in English is essential. Other languages may be advantageous. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Job Description OTHER SKILLS AND ABILITIES: Must be computer literate in MS Office packages.
