SUMMARY
This position is responsible for assisting the Senior Manager – Events with the day-to-day activities of the events team in the Dubai office and supervising a small team of event managers.
This position is actively involved in the strategic direction and implementation of conferences and workshops. This position works closely with senior executives, international and regional member and non-member committees and other SPE Managers. The position involves working closely with the Senior Manager – Events and the Managing Director to ensure strong event planning and scheduling, seamless execution of events, enhancing event management processes and building strong industry relationships to further the mission and vision of SPE
Middle East, North Africa and South Asia.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist the Senior Manager – Events with all day to day event operations.
Identifying event dates, avoiding clashes with other SPE and /or Oil & Gas industry activities worldwide.
Inviting Chairmen and Members to serve on the Technical Committee(s).
Manage the conference operations for selected conferences and workshops occurring in the Middle East, North Africa and South Asia including venue management, AV and staging, IT infrastructure, event budgeting and staff resourcing.
Liaise with the host organization, key stakeholders and committee members of large scale events to build strong relationships and collaborate successfully.
Supervise the onsite execution of events, ensuring a good event experience for attendees.
Prepare and maintain event budgets, with close monthly monitoring and follow up meetings with Senior Manager - Events.
Manage and mentor a small team of event managers to ensure their events are completed on time, on budget and to superior level of quality.
Guide event managers in the formation of workshop and conference committees and maintain strategic relationships with key individuals and organisations in the region.
Supervise the onsite execution of events, ensuring a good event experience for attendees.
Assist in training and development of new team members.
Assist the Senior Manager – Events in developing internal training plans and work processes for the team.
Assist the Senior Manager – Events in working continuously to improve the quality of
SPE events.
Assist the Senior Manager – Events in recruiting, retaining and training staff members in the events team.
Assist the Senior Manager – Events and Managing Director in workshop topic generation and scheduling.
Job Description
Maintain and further develop strong supplier relationships with hotels, freight forwarders, gift suppliers, AV and staging companies, entertainment and tour providers.
Assist Senior Manager – Events with event schedules by keeping a high level of awareness of SPE Middle East events, SPE worldwide events, other associations events and commercial events in the Middle East region and worldwide.
Enhance the image of SPE and SPE events by addressing concerns and following up on member suggestions to improve our service to the industry.
Any other duties as required by the Managing Director and Senior Manager –
Events.
SUPERVISORY RESPONSIBILITIES
Directly manages employees in the Dubai office. Carries out managerial responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include mentoring and training employees; planning, reviewing and directing work; appraising performance; rewarding and disciplining employees in consultation with the Senior Manager
Events; addressing complaints and resolving problems in consultation with the Senior
Manager Events.
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
Bachelor's degree or equivalent, Master’s degree desirable, but not required; 8 to 10 years related experience; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to communicate effectively via both written and verbal methods with senior representatives from the oil and gas industry. Ability to effectively present information to top management, public groups, and/or boards of directors. Fluency in Arabic would be advantageous.
MATHEMATICAL SKILLS
Ability to work with mathematical concepts such as probability and statistical inference.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Extensive domestic and international travel.

Multilingual and familiar with local sensitivities and preferences.
Service oriented.
Excellent oral, written, organization, presentation and independent workload management skills.
Ability to travel up to 40 percent of the work period.
Experience operating a personal computer with Windows standard software.
Preferred age group: 35-45.
