GENERAL REMINDERS AND DIRECTIONS FOR PROCTORS AND RELIEVERS FOR Algebra, Biology, and US History STAAR EOC
May 5-7, 2014

Prior to Testing:














Testing materials need to be picked up in the Library by 8:00 a.m. on the day of testing. Once you have your testing
materials DO NOT LET THEM OUT OF YOUR SIGHT. The bucket and materials cannot be left in a room and just locked
up.
Stand at the testing room door and tell students the desk # they are to sit in. Your testing materials must be at your
side – not at a desk or table away from you.
Please check the classrooms you will be using for testing. Make sure that the room has at least 30 desks. (unless a
small group administrator).
Projector screen is pulled up so that the white board and clock are visible to the students.
Look that the classroom clock is visible to the students and is working correctly
Make sure computers and monitor screens are turned off. Also be sure laptops are off and closed.
Your cell phone is turned off.
Label desks with numbers (then assign students chronologically to desks) or students’ name. You want to keep them
in alphabetical order.
In pencil, begin writing students’ names and SS # (PEIMS # on answer document) on seating chart. If they do not show
up, you can erase them on the chart.
ROOM TRAFFIC sheet is placed on a table at the front of the room. Anyone who enters MUST sign this form.
Students may not have food or drinks at their desk. Only water may be held at the front of the room.
Before testing begins, ALL backpacks, purses, bags, etc. MUST be placed at the front of the room and away from the
students. They may not have anything at their desk except a highlighter, eraser, pencil(s). NOTHING IS ALLOWED
UNDER THE DESKS OR IN THE DESK BASKETS. NOT EVEN WATER BOTTLES!
Students MAY NOT have any electronics on their person (have them empty pockets for you). All of them must be at
the front of the room whether in their backpack or purse or with you
DO NOT give out ANY MATERIALS (answer documents, test booklet, calculators, etc) PRIOR TO THE STUDENTS
ENTERING THE ROOM AND ITEMS BEING CLEARED AWAY.
“Time” Issues:
 Try reading directions by 9:00 A.M.!!! Therefore, get students in the classroom quickly. Have them turn off all
electronics and place them in their backpack, their purse or at the front of the room. Students MAY NOT have any
electronics on their person (have them empty pockets for you). All personal items (even books for after testing) need
to then be placed at the front of the room. They may only keep pencils and highlighters (if they bring one) at their
desk.
 As it gets closer to 9:00 a.m., someone will come by to tell you to either begin or wait depending on how many kids are
still missing.
 Time does NOT start when you begin reading the directions; it starts after the last line of the directions!
 Pencils, tests, and answer documents must be passed out BEFORE you start reading directions. DO NOT GIVE ANSWER
DOCUMENTS OUT RIGHT BEFORE YOU BEGIN READING. TEST BOOKLETS ARE NOT GIVEN OUT UNTIL THE
DIRECTIONS DIRECT YOU TO DO SO.
 Test directions do NOT have a “SAY” to stop and put pencils down. Administrators will have to add that.
 At the end of the 4 hours whatever is complete is what is turned in.
 Students may take bathroom/mental breaks during the test. However, time does not stop.
 Announce how much time is left after each hour, then more frequently during the last hour.
Beginning of Testing:
 Once the directions have been read, place the GREEN TIME SHEET on the outside of your door. You will write
TWO things on the GREEN TIME SHEET:
1. the NUMBER TESTING at the start of the test
2. PUT THE TIME YOU BEGIN TESTING



Put attendance out on door by 9:20 a.m. Be sure to sign the roster and put your 6 digit NEISD employee number.
Write ABSENT next to the name of those students not in attendance. DO NOT HIGHLIGHT NAMES.
COUNSELORS will pick up all attendance at 9:20 a.m. and take to Natalie in the Library. Be sure to check that you have
a teacher signature and 6 digit NEISD employee #. Also make sure nothing is highlighted.
Once directions have been read place the DO NOT DISTURB testing sign on outside of door IMMEDIATELY.
During Testing:







In your testing bucket, you will have a set of highlighters for students. They must ask for a highlighter if they want one.
Please DO NOT hand them out to everyone.
Students may work in any order in the test booklet.
Every hour update your GREEN TIME SHEET with the number of students still testing.
ACTIVELY MONITOR students by walking around the room or standing at the front of the room.
Also make sure that they are bubbling within the last 30 minutes of testing if they have not done so already.
You may NOT work on anything during testing – no grading, reading, texting, etc. THIS ALSO IS FOR HALL
MONITORS/RELIEVERS.
At the last 30 minute mark, tell students who have not started to mark on their answer document to stop and do so at
that time, then continue finishing the test, marking as they go.
Finishing Testing:










As a student finishes, you need to bubble the SCORE CODE AND DATE TEST GIVEN on their answer document.
Check that the student bubbled in the test form AND wrote the test booklet number on their answer document.
Write the test booklet number of each student on your seating chart.
If a student finishes, before the time expires, they are allowed to read a book (non-electronic) if they brought one.
They may go into their backpack to get this item with your permission. NO ELECTRONICS OR PERSONAL ITEMS MAY BE
RETURNED TO ANY STUDENT UNTIL ALL TESTING IS COMPLETE IN ALL TESTING CLASSROOMS. THIS WILL BE ONLY 1-2
MINUTES BEFORE DISMISSAL TO LUNCH.
When a student finishes their test, they may read a book. This does not include any type of electronic book (Nook,
Ipad, ipod, Kindle, etc). They may not draw, write, or do homework. Magazines and textbooks are NOT approved to
be used either.
At the end of the test, the test directions do NOT have a “SAY” to stop and put pencils down. Administrators will have
to add that.
When all of your materials are ready to be taken to the Library, have a hall reliever proctor your class while you return
the testing bucket.
RELIEVERS: DO NOT LET STUDENTS TALK OR GET BACKPACKS, ETC UNTIL THE PROCTOR RETURNS. THEY ARE STILL TO
REMAIN SILENT UNTIL ALL TESTING MATERIALS IN THE SCHOOL ARE RETURNED TO THE LIBRARY
At the end of the 4 hours whatever is complete is what is turned in.
DO NOT TALK TO ANY STUDENT ABOUT THE TEST. THIS INCLUDES YOUR OWN CLASSROOM STUDENTS. DO NOT LET
STUDENTS TALK TO EACH OTERH ABOUT THE TEST AS WELL. THIS IS A TESTING VIOLOATION!
Restroom Breaks



When a student goes to the restroom, you MUST pick up their test book and answer document and keep at your desk.
Students may take bathroom/mental breaks during the test. However, time does not stop.
Female students are NOT allowed to take bags or purses, etc to the restroom with them. Feminine products will be
placed in restrooms for them during the testing.
After Testing:



WAIT FOR AN ANNOUNCEMENT TO BE MADE BEFORE RELEASING STUDENTS. THE SCHEDULE WILL BE AMENDED
DEPENDING ON WHEN ALL CLASSES BEGIN TESTING INITIALLY OR DEPENDING ON LUNCH.
NO electronic devices (phones, ipods, etc.) may be out in any classroom, if testing is still occurring anywhere in the
building.
ALL students who take STAAR EOC will go to 6th lunch, 7th and 8th period only.
**RELIEVERS: YOU MUST BE IN THE HALL THE ENTIRE TIME (EXCEPT YOUR SCHEDULED BREAK AND RELIEVING TIMES) UNTIL
STUDENTS ARE RELEASED AT THE END OF TESTING. YOU WILL STEP INTO CLASSES AS NEEDED ESPECIALLY AS TESTING
BUCKETS NEED TO BE RETURNED
