Hespeler Village Neighbourhood Association (Here in HVNA) Board of Directors

HVNA Board, Residents of HVNA Neighbourhood, City of Cambridge, and other Funders
HVNA Recreation Coordinator
Attend monthly board meeting as required. In addition, there may be committee
meetings – there may be additional tasks to complete outside of board meetings; on
average the hours are 6-10 per month.
2 year term and may be released at the end of an elected term, by resigning or
according to the Bylaws of HVNA.
GOAL:
To be a board member for HVNA and to lead the organization in achieving our mission to inspire
community spirit in Hespeler by improving and enhancing the quality of life through affordable, social,
educational and recreational programs to its community.

To serve as a Board Member in a volunteer capacity, without remuneration

To be able to represent HVNA in the community and at public events.

RESPONSIBILITIES and DUTIES

Keep apprised of ongoing issues of HVNA
To represent HVNA at public events.
To know and maintain lines of communication between the Board and staff
To know and understand the roles and responsibilities of the Board and staff.
To take an active role in recruiting new Board and Committee members as required.
To support fundraising initiatives and events.
7. To be responsible for continuing self-education and growth; know the community; be familiar with
community resources; attend related community functions; keep informed of organization’s services.
8. To be informed about the background issues in order to discuss them responsibly.
9. To attend regular monthly meetings (attend a minimum of 75% of the meetings) and punctual at all
Board meetings – (if unable to attend, give early notice to HVNA Recreation Coordinator.)
10. To read the Board Minutes and review all relevant documentation before the board meeting.
11. Gain an understanding of the financial position of HVNA and be aware of funder expectations.
12. To gain a working knowledge of HVNA’s Bylaws and Constitution, as well as, Policy and Procedures.
13. To maintain Board business in confidentiality; if a problem arises discuss it with the Board Chair and or
Recreation Coordinator
14. May be asked to chair a committee of the Board and report back to the Board of Directors as required.
IN ADDITION THE TREASURER DUTIES INCLUDE
1. Serves on the Executive Committee
2. Ensures that all board members understand the financial standing of the organization on a monthly
basis, and responds to questions.
3. Gives regular reports to the Board on the financial state of the organization.
4. Keeps financial reports on file.
5. Orients incoming Treasurer.
6. Acts as one of the signing officers for cheques and other documents, such as grant applications for the
organization.
7. Keeps full and accurate accounts of all organizations receipts and disbursements.
8. Receives and banks all monies due to the organization.
9. Disburses all monies as directed by the Board.
10. Working closely with the Recreation Coordinator prepares and monitors overall budget.
11. Completes staff payroll, including remittances to Unemployment Insurance Commission (UIC) and
Canada Pension Plan (CPP) as well as Federal and Provincial taxes.
12. Completes Record of Employment forms.
13. Works closely with the auditor and recreation coordinator to prepare accurate documentation for the
annual meeting of the organization
14. Files necessary financial reports, tax reports and audits.
15. Maintain bank account for management of Association funds.
16. Ensures all reporting requirements are met with regard to incorporation documentation etc.
