GENERAL SUMMARY
PURPOSE: To provide administrative assistance for the Assistant Director of Risk Management; To
provide assistance in the ongoing evaluation and editing of the policies and procedures maintained by Risk
Management Department; To maintain confidential reporting files, committee meeting minutes, and other
relevant data pertaining to all of the functions and responsibilities contained in the Risk Management
Department; To maintain a working liaison with the Chair and Co-Chair of each committee and task force.
POLICY SETTING RESPONSIBILITIES: Formally responsible for tracking the effectiveness of the Risk
Management Programs under the direction of the Assistant Director of Risk Management for the
appropriate review and approval of any changes prior to the due date.
DECISION-MAKING AUTHORITY: Routine decisions include recommendations concluded through
anticipation, recognition, and evaluation to control activities that may be harmful to the Texas Children’s
Hospital Integrated Delivery System.
SUPERVISORY RESPONSIBILITY: None.
PATIENT CARE PROVIDER RESPONSIBILITY: None
ESSENTIAL RESPONSIBILITIES

Task #1: Produces letters, memos, reports, spreadsheets, preservation of evidence memoranda and presentations
ensuring accuracy and professional appearance.
Task #2: Coordinates meeting arrangements for the Assistant Director and direct reports by contacting attendees,
securing the location, equipment, and hospitality requirements.
Task #3: Secures appropriate outside assistance for the Assistant Director and direct reports when required, e.g.
high-speed copying, graphics, binding.

Task #4: Utilizes the internet search tools to obtain relevant and current information as requested.
Task #5: Assists with the preparation of the budget for the Risk Management Department.
Task #6: Assists with purchase documents, requisitions, and accounts payable for the Risk Management
department.
Task #7: Assists with the preparation of policies and procedures.
Task #8: Coordinates and participates in special meetings or events as requested by the Assistant Director.
Task #9: Facilitates travel arrangements as needed for the Assistant Director and direct reports including
processing registrations for meetings, conferences, and seminars, coordinating and confirming lodging
and airline reservations and ground transportation, preparing itinerary, and expense reports.
Task #10: Ensures that all calls coming into the Risk Management office as well as the Assistant Director’s office
are answered in a timely manner that is friendly and professional, directs calls, transmits messages,
and responds to requests for assistance.
Task #11: Maintains the Assistant Director’s calendar; records the Assistant Director’s and direct reports’ time off
using the Hospital’s payroll system.
Task #12: Reviews and distributes incoming mail on the day it is received.
Task #13: Manages filing system for the Assistant Director and assists with the filing system of the Risk
Management Department.
Task #14: Assists with handling of subpoenas including coordinating with counsel as nescessary, under the
direction of the Assistant Director.
Task #15: Maintains Risk Management Share Drive.
Task #16. Maintains an accurate logs related to evidence stored in Risk Management department.

DESCRIPTION
Required for completely satisfactory performance in this job is a knowledge of
administrative and committee functions, administrative assistant skills, familiarity with
legal and medical terminology (working vocabulary), and an understanding of the
dynamics of large organizations.
Required for completely satisfactory performance in this job is the ability to
competently utilize word processing, spreadsheet, presentation, database software, and
the internet as well as the ability to accurately transcribe, type, edit, and proofread
meeting minutes and other correspondence; to operate the use of standard office
equipment i.e., copier, facsimile machine, telephone etc. Must be self-driven, flexible,
able to multitask and maintain confidentiality of information, possess excellent
interpersonal skills and the ability to work with all levels of internal management and
staff as well as outside clients and vendors.
The formal education and experience required for completely satisfactory performance
in this job is a High School diploma or equivalent and 5 years of office administrative

experience, preferably in a legal and/or hospital environment, working under general
supervision. Previous experience as office manager or administrative assistant position
is desirable, as is experience in the taking of meeting minutes for large committees.
