However, Karen and Tim will be there. ** NOTE: Closed items will be carried on the minutes for one month to communicate the closing commentary. Meeting Minutes 1. Gathering and Opening Prayer – Fr. Tim Fr. Tim led us in a reading from Ephesians 2. Prayer portion of meeting – All We read the readings Ezekiel 18 25-28, Philippians 2: 1-11, and Matthew 21: 28-32 Fr. Tim indicated he was interested in our discussion to provide some thoughts for his sermons on Sunday Most of the discussion focused on the parable of the two sons, which approach is better, and how it correlates to the Ezekiel reading on how unjust people can turn to God and be accepted. 3. Introduce Education portion of meeting – Fr. Tim Fr. Tim introduced the book ‘Growing an Engaged Church’ to the group. Copies were handed out to the group to own, write in, and otherwise make our own. Expectation is that we will begin reading and be ready to discuss early chapters in the next meeting. Direction from Fr. Tim to read as you would be reflecting on who we are and what we could be as a parish. 4. What have you heard? – All People have been impressed w/ priests and sermons/messages during masses as of late People were happy with how funeral went for Connor Smith A couple parishioners commented about not getting the message on the start of Faith Formation / Confirmation even though we’ve been communicated via the bulletin 5. Review Action Items from Last Meeting (Action item updates have been added to the summary table above.) Discussed that the ‘Engaging Your Parish’ meeting will be at OLG in Edina. 5071 Eden Ave. Sat. Catholic Community of Saint Thomas Beckett 3 Parish Pastoral Council Meeting Minutes 6. We don’t need to bring anything We currently have seven people going. Would like to get to 15 or so. Brochure was handed out to the group, and has been scanned to PDF and attached to these minutes Listening Session Review – All Updated listening session calendar. Will move session off Easter to the week after (4/15). Need to move session off Mother’s Day, but we decided not to determine a date and this time, pending the next several sessions and evaluating how they’re going and whether we should continue monthly or some alternate frequency. Listening Session Council Member Calendar as follows: i. October (10/9): Roy Hosek, Patty Lewandoski, Joe Ruether ii. November (11/13): Kadee Ruhland, Jon Villella, Steve Muetzel iii. December (12/11): Dan Rietz, Cole Scheller, Steve Boehm Discussed that we need to put the notes on the webpage. We also need to provide responses. Steve suggested that the members in the listening session should categorize comments by commentary, action items. Group agreed. Future sessions will have this suggestion added. Roy suggested having a small group to review these items and take action / summarize. We discussed that we need to keep the anonymity of the parishioners that were there Discussed that we do want to hear the positive comments as well. Group reviewed the notes that Kadee had provided / taken during the sessions. The full text of the notes were reviewed by the group, but in this meeting we discussed a few of the action requests specifically. Those being: Gluten Free Hosts o We have these but people don’t know it. o We need to communicate this better. o We need to communicate to mass coordinators on this so they know what hosts are gluten free, and provide education to the Eucharistic ministers on gluten-free. o We discussed that people don’t know the procedures. Fr. Tim commented that he will eventually know who the people that need Gluten-Free are, but he doesn’t know yet. o Need to have more communication (bulletin article, etc.), but before we communicate to the parish, we need to educate internally. Need for an Energy Audit o Karen discussed that we’ve had energy audits before, and one suggestion we will be doing is to have lower wattage bulbs w/o the glass to reduce heat and have them last longer. Sound Echoes o We need to provide feedback to the lectors to enunciate better. o May need to re-communicate that we have 2 hearing assistance devices in the Sacristy. o We discussed some of the sound improvement things that have been done in the past, including added the sound pads on the walls, although painting them may not have helped. 7. Open discussion Regarding Commissions -- All Discussed the merits pro/con of moving to a commission leadership model. Tim reviewed what a commission model is, indicated we as a PPC need to decide if we need to go this way. Ted suggested that structure would help (reviewed challenges w/ Eucharistic ministers and mass coordinators) Tim communicated that there needs to be one person responsible for each group. Tim suggested that we have someone in to move us to a commission model, as we don’t want to reinvent the wheel. Jerry Roth was brought up as someone who has done this before. Tim indicated he will give him a call and see if he will come to one of our meetings. If timing doesn’t work out, we will have an ‘out of band’ PPC meeting. We discussed if people would volunteer more or less with more structure. Tim suggested that our process to move this direction should be to first go to the OLG meeting and hear what Fr. Sweetser has to say, then we’ll have Jerry Roth in to discuss it with us. We will determine next steps after that. Updates - What’s going on? – Fr. Tim and Karen Social Justice Committee Update (Dan) We will be having a social justice fair. We’re looking for leaders to drive each event, and we’ll be looking for people to join at the fair. The fair will be over the weekend of 10/15. Dan to email list to people. Steve B. to take to confirmation team. Karen indicated we aren’t going to have a ministry fair due to the flux in organization now. Finance Comittee Update: There is a Finance Committee meeting this week. The parish will have the stewardship talk on 11/5 – 11/6. Tim mentioned his plan to have a dual dialog homily and will be getting some ideas on this from folks. They are trying to get letter out before that weekend. Other Staff Updates: Letter going out next week on new roman missal change (11/27 start) across US. There is a meeting on 10/6 with Michael Sulhavey on the process for the roman missal change. On the weekends of 11/13 and 11/20 we’ll be practicing these changes. Fr. Tim will use some homily time to discuss these upcoming changes as well. Will be putting new responses in the back of the gather books. An insert will go with catholic update as well. Staff is experimenting with new agenda for the staff meeting. Still trying to get pace prizm insurance discount. To that end, we will be having an audit week of 10/10. We expect to get the recommendations on the financial controls then. Regarding these minutes, we discussed that they should be sent to Steve Muetzel for review. Jon will send to Dione for posting on the website. Next meeting is scheduled for October 18, 2011.
