Assistant Director of the Oxy Annual Fund Institutional Advancement Summary of Duties, Responsibilities and Goals As part of the College’s new Alumni Engagement team, this position will report to the Director of the Oxy Annual Fund and will work closely with the entire Alumni Engagement team on annual giving programming. In addition to routine Annual Fund responsibilities, this position will coordinate fundraising efforts around significant alumni audiences – Reunion classes, Leadership Annual Fund volunteers and special affinities. Responsibilities include planning and executing annual fundraising campaigns for each of these programs and providing support to the volunteer leadership and committees of these groups. This position is responsible for goal setting, overseeing the message development of direct mail and Telefund initiatives, volunteer recruitment, training, and support, along with related activities of identification, cultivation, solicitation, and stewardship for donors in these groups. Each campaign will have an emphasis on personal solicitations for outright gifts at the leadership gifts of $1,000 and above. The mission of the departmental units of Alumni and Parent Engagement is to provide our constituents with exceptional service and a positive interaction with the College – to tell the Oxy story, engage the individual, share the needs and raise the resources. This position plays a vital role in ensuring our mission is achieved. Essential Functions The following statements are intended to describe the general nature and level of work being performed by an individual assigned to this job. Other duties may be assigned. Reunion Year Class Support (50%) Oversee, plan, supervise and direct reunion year class based fundraising campaign efforts and activities for active classes as assigned. Assist chairs with personal solicitations, letter and e-mail reminder messaging as appropriate. Plan and implement recognition of volunteer efforts as appropriate. Identify, recruit and manage volunteers, set campaign strategies for each class, hold conference calls, travel to recruit leadership, and provide training to volunteers as needed. Solicit giving society level gifts from volunteers and other members of the class by phone and in person, and record results in the database to assure proper tracking of results. Prepare and distribute reports on a regular basis to update volunteers and staff on results of fundraising activities. Annual Fund Leadership Volunteers (30%) In partnership with the Director and Associate Director of the Oxy Annual Fund, develop, implement and manage the annual fund leadership volunteer solicitation program. Identify, cultivate, train and steward key leadership peer-to-peer solicitation volunteers. Identifying, cultivating and managing an individual portfolio of prospective leadership donors ($1,500+). Face-to-face solicitations and documented contacts with prospects and volunteers. Special Affinities (15%) Oversee, plan, supervise and fundraising campaign efforts and activities for special affinities as assigned. Identify, recruit and manage volunteers, conduct feasibility for special projects, set campaign strategies, and assist chairs with personal solicitations as appropriate, and plan and implement recognition of volunteer efforts. Provide training to volunteers as required. Partner with Alumni Relations, Planned Giving, and Major Gift programs as appropriate to ensure successful outreach and engagement efforts with affinity groups. Experience working in higher education development, preferred Excellent oral and written communications skills Outstanding work organization and time management skills Willingness to work evenings and weekends and travel Experience in personally soliciting gifts, preferred Demonstrated ability to effectively motivate, train and support staff and volunteers Ability to work effectively in a team environment—with a mix of faculty, parents, alumni and staff colleagues.
