Microsoft Outlook Tips
Microsoft outlook is an e-mail program but it does much more than just send e-mails. It
can manage your calendar, tasks that need completing, and your contacts. These tools can save
users time and help them stay organized. Three tips on using outlook will be summarized below.
One great feature of outlook is the ability to schedule meetings. This allows you to add a
meeting to your calendar while also inviting others to the meeting. This can be done from the file
menu by going to “new” and clicking on “meeting request” or simply pressing CTRL, SHIFT,
and Q simultaneously. The next step is filling in the boxes such as subject, location, and the start
and end time. You can then go to the meeting tab and click “scheduling assistant”. This will
allow you to add other from your addresses book by clicking “add from address book”. If you
would like the meeting to be recurring than this can be done by clicking “recurrence” under the
meeting tab. Now simply click “appointment” in the meeting tab and click “send”. This is how to
send a meeting request on Microsoft Outlook.
Another great feature of outlook is the ability to share your calendar with others. To do
this click on calendar in the navigation pane and click share my calendar. Fill in the “To” box
with the person you would like to share the calendar with and the “subject” box with a subject.
You can also include any information you would like to within the message body. Now simply
click “send”. This is how to share your calendar on Microsoft Outlook.
The last feature of Outlook to be outlined in this paper is the ability to delegate calendar
access to someone else. This allows another person such as an assistant to manage your calendar.
This can be done by going to the “tools” menu and clicking on “options” followed by
“delegates”. Then click “add” and type the name of the person who will be managing your
calendar. Now click “add” followed by “OK” and click the type of permission for the folders that
will be delegated. Finally, if you would like your delegate to see your private items as well you
will need to select the “delegate can see my private items” check box. This is how to delegate
your calendar to another person on Microsoft Outlook.
Three tips on Microsoft Outlook were summarized above. These are only a couple of the
many great features of the program. Microsoft Outlook is a program that, when uses well, can be
extremely useful and time saving.
