JOB DESCRIPTION Job Title: Full-time/Part-time: FLSA Status: Supervisor: Date Prepared: University of Virginia Alumni Association Assistant Director, Accounting Operations Full-time Exempt Director, UVa Fund November 2012 GENERAL SUMMARY: The incumbent is responsible for ensuring the routine operations of the accounting function and internal control structure. This includes maintaining the integrity and functionality of the general ledger system; oversight of the banking and cash functions; compliance and tax annual filings, maintenance of the Alumni Association general ledger and budget, and special projects as needed. SPECIFIC DUTIES AND RESPONSIBILITIES: Maintenance of general ledger system and reporting functionality, including system upgrades Alumni Association –budget administration including entry and preparation assistance & analysis, preparing and maintenance of management reports, understanding of Alumni Association specific accounting issues General accounting – o Accounts Receivable-Responsible for Accounts Receivable process including billing, student loans, and collections. o Fixed assets - maintenance and compliance with all capitalization policies and ensuring soundness of reporting and balance information Quarterly and year end audit – Direct support of audit function including collection of requested materials, review of all significant activity on a periodic basis, review of staff prepare schedules and documentation, understanding of potential issues Banking operations – management of banking and treasury function. This includes full knowledge of monthly bank reconciliation process, utilization of banking services, maintenance of merchant accounts. Compliance – preparation of annual federal and local tax returns, maintenance of sales tax exemption, annual unclaimed property filing Special projects, as necessary. Current fiscal year project will be to evaluate overall relationship with Suntrust and cost analysis. EDUCATION: Bachelor’s Degree in Accounting Certified Public Accounting certification, preferred MBA or Masters degree in finance, preferred EXPERIENCE: 1. 2. 3. 4. Three to five years of public accounting or accounting operations experience Experience in the not for profit business sector preferred, not required Strong customer service skills Knowledge of generally accepted accounting principles, FASB and IRS statues, as well as efficient and effective accounting operation procedures 5. Skill in budgeting, preparing financial reports and computer applications SKILLS/CERTIFICATIONS: 1. Intermediate to advanced proficiency in word processing, spreadsheet, accounting and database management software required. 2. Knowledge of computer systems and financial systems programs and applications. 3. The individual must learn to navigate BSR/Advance, the University of Virginia’s propriety donor database and Navision, the Association’s accounting software package SUPERVISION: There are no positions that report directly to him/her. (<1year –plan to transition current Accounting Specialist-bank recs/AR to report to Assistant Director) ABILITIES: 1. Incumbent should be detail-oriented. 2. Skill in analyzing financial data and preparing appropriate related reports. 3. The incumbent should have the ability to prioritize and manage multiple tasks simultaneously while remaining cognizant of deadlines and schedules. 4. Above average customer service skills as there is frequent interaction with external customers. A personable and professional manner is required for both face-to-face and telephone contact. 5. The incumbent must be able to work well with staff, Alumni, auditors, and general public. 6. The incumbent must have the ability to work in a fast-paced and changing environment. 7. Ability to communicate effectively with all levels of management regarding fiscal policies. 8. Ability to obtain knowledge through various sources including independent research, professional readings, trade organizations, continuing education programs, and external professional relationships. 9.
