Facilities Services Weekly Update Meeting

1. Current Projects- Overview
a. Vangstad- will be here over spring break to finish up everything. Floor will be sanded
after the 7th and before the next event.
i. Need to confirm a date to ask people in offices to move their furniture. Ron will
call and confirm.
b. Flood wall- will start next week. Start digging over by Viking Drive- Ron will find out if
the road will be closed at his meeting this afternoon. During spring break they will test
to make sure all the aluminum works.
c. Power house- coal boiler is ordered. Thank you for helping to clean out the houses.
d. Blue house by Student Center- will need to clean out one half of the basement so the
floor tile can come out.
2. Safety/Training
a. Working on table-top exercises with the Emergency Management Team. Once set up,
they’ll be sent to authorities (Police dept, etc.) to offer their assistance/participation
then they will be used on campus in difference ways.
b. Working on specific FS emergency procedures as well. This will be a well-thought out
process so no dates for completion have been set. We want this to be developed very
well and have buy in from everyone.
3. FAMIS
a. Email from Wesley about new payroll testing- the new system will change our time
entering procedures a bit. As of now, we will need to enter our vacation and sick time
twice for the system to work. We are working to get them to leave FAMIS alone so we
won’t have to do that but it’s still a big project in the works. Just be prepared for
training, etc. in the near future with this change.
4. Building Services
a. GOOD NEWS! Two applications were received. Looking to set up interviews.
5. Maintenance
a. Changing of snow removal procedure to help accommodate requests.
6. Power House
a. When work orders are finished, Fred encourages Power House employees to explain
what was done. This is a good practice.
7. FS Concerns & Solutions
a. Survey feedback from work orders has been positive.
b. Need to have a little “tough love” when it comes to encouraging people to enter work
orders. Ask them to find the quick reference guide or other document and offer help
once they get there to help set a service.
c. Wesley is working on refocusing the Campus Beautification Committee
i. When ideas are brought up- make sure the full scope of campus is examined.
Good example: people donate trees and want them in a specific place- doesn’t
always work, the trees get too big or they die because of poor placement.
8. Other
a. Entering time in FAMIS- make sure you are entering the correct time and using work
orders. Add to monthly agenda for meeting to discuss why it’s important.
