POSITION DESCRIPTION TITLE: FLSA STATUS: Coordinator Language Institute Office Non-Exempt CATEGORY: GRADE: Classified E JOB SUMMARY: Responsible for assisting the manager with the day-to-day operations of the Language Institute program. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 20% 1. Assist the manager with staff scheduling, training, providing daily work direction and verifying work completion. Coordinate projects and provide support for staff to meet established program goals. Assist with the development and implementation of office procedures and ensure staff compliance. 2. Coordinate student and program faculty classroom activities; provide program faculty members with instructional materials, instructional support and substitution requests. Ensure program staff services are being provided to students and program faculty. 15% 3. Coordinate all instructional exams and schedule placement testing for program and maintain test results/records. Collaborate and participate in student services activities, conduct presentations, serve as liaison between department, internal departments and community agencies interested in learning English. 15% 4. Maintain accurate records of all expenditures, verify charges and resolve issues. Prepare and process check requests, budget transfers, journal entries, payroll adjustments, and work with purchase requisitions and applicable Human Resources forms; compile data, prepare and submit reports. 15% 5. Monitor classroom enrollment and payment, assign classrooms to each course and recommend opening courses based on student needs; ensure compliance with established guidelines. 10% 6. Assist in the coordination and schedule of recruitment activities. Assist in the development and distribution of recruiting materials. Actively promote program to potential students to improve enrollment and retention rates. 10% 7. Monitor the purchase and distribution of all office supplies. Order and maintain supplies for instructional and student activities. Arrange for equipment maintenance and maintain inventory. Monitor facilities and contact appropriate departments to report issues that hinder instruction and/or safety. 10% 8.
