Status of building interfaces and extracts and third-party software. What will be ready for CRP in September and what will be ready for CRP in November? Online training tutorials (tons of them thanks to Greg) for functional users to be put on new LMS site Gap documents attached Action Taken, Decisions, Recommendations, Time Line Ninette would like intellecheck in October. Sherry will resend the schedule. We also need to get intellecheck and formfusion training scheduled. HR’s intern should be able to do this without our help. You can’t open attached files unless they’re on the C drive. Continue to add to the gap document. Sherry will put on the web site. We can have the faculty log directly into SSB for the first semester or two if necessary. If we can get the UCO formfusion transcript, this could be ready for the November CRP but if they don’t send it , then we won’t have time to develop our own by that time. -- Enrollment scenarios Status on UCO’s SSB transcript – hold for next week when Dawne returns? ILT leads want sleep/wake on printers in Burch, Library & S Shep 407 for CRP Workflow list from ILT – any discussions on this? Any thoughts on end-user support? Has not been defined by ILT yet. – Debbie working on a draft Luminis has been named AggieAccess CRP ILT will now prioritize their list. Juddson said he might be able to do an enrollment transactions type workflow so that the registrar and other offices can see who did the enrollment and to track what needs done. Purchasing is the biggest priority. We might could do some others in training. Debbie will present this to ILT. -CRP will involve all the departments. We may not have security for SSB defined as well for the first CRP. Banner and TMA Interface Physical Facilities will have all Admin 201 offices emptied by close of business 8/12/09. FYI: Angie asked Laurene: For conversion R3 GP will be loaded into PROD, when each of the other modules (FI, AD, ST) are being loaded will PROD be available or unavailable to users? Laurene: PROD will be unavailable to users while conversion tasks are underway The agenda for next week’s training indicates hands on training. Sherry will check on this as Mike indicated we only needed one laptop. Since there has been little more discussion and no decision made on student email, it is IT’s recommendation that OWA will continue as student email and review when we upgrade to Luminis 5. Each year will be a limited number that can go to this or Summit. If you want to go to any of the SETA sessions, Summit, or other regional conferences then write up the justification. Conference call on August 12 at 10:00 in admin board room. First training week (4 days) will be Sept. 28 – exact dates and times will follow. In round 2 conversion, Kurt added non-faculty to the extract so that the people who need access to student info are set up as faculty. Their access will need evaluated. Julie will talk to Carlos about this situation in the data integration training next week. In luminis training last week, there was a document that said people in the RORSTAT table receive the ‘student’ role. If this is the case, then the luminis fragments and channels are already defined. The issue then would be that we would have two forgot my password links. The RORSTAT people would not necessarily be students yet and thus would not have active directory passwords that could be changed. They would have to change their SSB password instead. Financial Assistance or Recruitment would also have to find a way of informing these students what their initial login information is. We’ll be reporting out of Banner. Dawne will train Roger on updating the data in Banner. Put boxes on a vacant wall but not too near the doorway. We will have to schedule the downtime. McArthur will have to approve the downtime and faculty/staff messages sent. Julie will not be here that day. Debbie will try to reschedule. This should be our checklist of things that must be done after the conversion scripts but before we let the users in for testing. Due from ILT now. Sherry & Mike SSB is still being looked at. Doreen is looking at the broken graphics issue. We have customized versions from 2003-2007 that need explained as to why these are no longer baseline. Install patches that can be installed prior to CRP starting Sept. 1 – is it possible to hit mid-August? 8.2 upgrades cannot be installed because ODS Greg & Chase ILT turned in workflow candidates to Sherry from financial assistance, student and advancement. This is in ILT’s hands to prioritize and will be removed from IT’s list. Reviewing critical programs for go live and all programs required @ go live Patches can be installed if issues are resolved with a patch. Page 4 Cameron University Banner Project Meeting Agenda and Notes will currently only work with 8.1. ST ILT & Tech LP, ILT & Tech In a conference call with Duane, Dawne discussed Academic Transfer. We had approximately 12,000 transcript entries for January to August last year. This will be a lot of dual entry and much more room for error. Rerolling all academic history would be about 45 hours – possibly less and some of these are already allocated for the supplemental roll. Linda will need to decide and it will be Glen’s final decision. Identify what needs to be setup through FormFusion and Intellecheck There are triggers on RORSTAT, SGBSTDN, PEBEMPL, and SIBINST to automatically create PINS anytime someone is entered into these tables. RORSTAT is the financial assistance table when students from tapes are loaded in. Chris will need to talk to Anna about whether this is something CU wants turned on. Currently luminis training has been focused on employee, faculty, and student and it has been said that we are not doing advancement and admissions roles for go live. If we do advancement and admissions, then luminis ldap and roles need to be reevaluated. May 29, 2016
