PRODUCTION COORDINATOR
The Production Coordinator [PC] shall act as liaison between the Board and the show
director and production staff in all phases of the production. The PC shall bring potential
or actual production concerns to the attention of the Board.
Auditions
Coordinate with Director to get audition materials and production assistance to the
audition. Collect audition sheets and give them to Publicity Manager.
Budget
Assist director to develop a budget for production. Changes in approved budget must go
to the Board for further approval. PC shall track expenditures and assure that individuals
responsible for line items stay within guidelines. PC will collect bills and receipts
associated with the production. Refer to Budget for Show Personnel for details.
Cast and Crew
Maintain an accurate list of cast and crew members, including names, addresses, phone
numbers and email addresses. Aid the director to recruit, select and coordinate set
designer, set construction boss, scenic artist, costumer, stage manager, musical
director, choreographer, lighting designer, accompanist and other personnel for the
production.
Complementary TicketsProvide each cast, crew and orchestra member two complimentary tickets. Arrange
complimentary tickets for area media critics. The PC will also have twenty discretionary
tickets for promotion of the show. The complimentary tickets may be used anytime
during the run of the show.
Emergency Exits
Keep exterior doors free of obstructions at all times. During performances exit signs
must be clearly lit and clearly visible in front and back of the house. The audience must
have two clear means of egress: 1) the lobby doors; and 2) through the curtain stage left
and out the first set of double doors. This exit must be kept clear at all times during a
performance.
Parking
Communicate parking rules to cast and crew members
Post Production
Prepare a post-production debriefing for director and Board.
Production Meetings
Secure rehearsal space. Assist the Director to set up production meetings to establish
lines of communication and a unified vision for the production among all show personnel.
Rehearsals
Review rehearsal schedule and assure it is followed or modified to allow ample time for
a worthy production. Clarify dates for transfer from rehearsal space to performance
space with Board.
Rented or Borrowed Items
Maintain an accurate list of all borrowed or rented items and see they are returned
promptly after strike.
Safety Inspection
Arrange for safety inspection during tech week.
Security Deposits for Materials
Collect deposits that may be required of cast and crew for materials. Checks will not be
deposited unless materials are lost or damaged and will be given back upon return of
undamaged materials. Return scripts and scores to licenser, checking that marks have
been erased.
