PART-TIME CLASSIFICATIONS AND RATES
GENERAL CONSIDERATIONS
Part-time jobs with similar duties and responsibilities must be paid the same hourly rate of pay.
There should be no discrimination in pay practices because of sex, race, ancestry, place of origin,
colour, ethnic origin, citizenship, creed, sexual orientation, age, marital status, family status,
disabilities or the receipt of public assistance.
The College is not required to comply with minimum wage requirements under the Employment
Standards Act. However, it is a general practice throughout the College to pay minimum wage
rates.
These positions are for 24 hours/week or less (N.B. see explanation regarding
Co-operative Education Students).
DETERMINING JOB CLASSIFICATION AND HOURLY RATE OF PAY
The Job Classification Guide Charts are designed for a quick and easy determination of a
position classification and respective hourly rate of pay for typical part-time positions.
Supervisors are required to determine the classification and hourly rate of pay for each
part-time support position that is created.
Using the Job Classification Guide Charts:
1. Make a brief list of the major duties and responsibilities required for the part-time
position.
2. Review the Guide Charts and match the duties and responsibilities on your list with
the typical duties and responsibilities found under one of the job classifications in the
Guide Charts. The duties and responsibilities of some job classes are sometimes
similar to others. Consider the core duties and complexity/responsibility of the
position. Read the contents of all job classifications to familiarize yourself with the
content.
3. Once you are satisfied with a reasonable match, determine the corresponding Band
using the Classification/Band Matrix.
4. Match the Band with the appropriate hourly rate of pay on the Pay Grid.
If the duties and responsibilities of the position cannot be matched to one of the classifications in
the Guide Charts, please contact the Salary Administrator – Administration & Support Services,
Human Resources Services, at ext.7187.

Once the Classification and the Band is determined and approved by the Supervisor, the Contract
then may be loaded online and the Part-time Temporary Support Employment Contract (see
Appendix A) must be signed by the Part-time employee and supervisor.
It is the responsibility of the Supervisor to ensure that a hard copy is provided to the Part-time
employee and that a copy is retained in the office/department file.

BAND 1
Required to perform several of the duties identified to be in this Band.
Operations Support

These are positions that are primarily filled by students AND there are no similar
full-time positions.
Examples are provided of the most common Operations Support positions. You may have
part-time student positions that do not match any of the job descriptions. If so, please
classify them when loading PAF’s on line as “Operations Support” and describe the
duties in the data field REASON FOR HIRE.
Recreational Coach
Prepares and implements lesson plans for sport instructional classes according to the
system provided.
Tour Guide, Ambassador, Orientation/Registration or Office/Department Assistant,
Fitness Centre Attendant

Assists with basic clerical duties (i.e. filing, stuffing envelopes, data entry,
answering telephone and in-person inquiries).

Greets groups or individual visitors to the College and conducts campus tours.

Assembles and distributes College information packages and distributes and
collects evaluation forms.

Assists with setting-up display booths at special events.

Assists with recruiting and training student volunteers.

Assists students and faculty in locating rooms and services, and gives directions at
special events (e.g. convocations). Processes sales transactions by operating a
cash register.

Processes sales transactions by operating a cash register.

Performs reception functions and assists with administrative support for
membership services in the Fitness Centre.
Lab Monitor

Responds to students’ general inquires concerning the use of hardware and a
variety of software packages and assists students, faculty and staff with hardware
or printing problems (i.e. paper jams, replacing toners, clearing print queries).

Informs supervisor of supply and software needs.

Opens and closes computer labs.

Communicates the established rules and procedures (Seneca College Computing
Acceptable Use Policy) re use of labs and equipment, and oversees equipment to
prevent theft or damage, reports/logs any damaged equipment.

Distributes and monitors use of equipment (e.g. hard drives), including lifting,
carrying and moving computers, monitors, printers, etc.

Replaces floppies/hard-drives/memory boards and ghost labs to “clean” software
installation.
Locker Maintenance Worker

Cleans out lockers at the end of semester and organizes and distributes contents of
lockers for disposal purposes.

Performs data input.

Distributes and posts locker information, changes locker combinations and reports
needed repair of lockers.

Assists with preparation for locker sales at start of semesters.
Shelver

Returns books to appropriate shelf using a coded number as reference, straightens
bookshelves, and picks-up and returns books in reading areas.

Collects books and periodicals from around the library and keeping tables/carrels
free of books, loose papers and trash.

Shelf read sections as assigned.
Safety Patrol

Escorts staff, students and visitors to their vehicles or to the perimeter of College
property on request.

Performs preventative patrols of the College grounds and reports situations to the
Security Office.

Directs traffic in College parking lots.
Kennel Cleaner
 Feeds and waters animals and cleans cages and litter boxes.
 Sweeps and mops floors.
 Observes and reports any problems or abnormalities.
Snack Bar

Prepares and serves fast food items.

Handles cash.

Conducts inventory of supplies and informs supervisor of requirements.
Food Service Worker

Sets up conference rooms for business meetings and replenishes refreshments.

Takes and serves food/beverage orders.

Performs bar duties.

Cleans, cuts and prepares fruit and vegetables for use in daily menu.

Prepares sandwiches.

Replenishes food stuffs in dispensers.

Performs housekeeping duties as required in accordance with sanitation
legislation.

Prepares and serves fast food items.

Handles cash.

Conducts inventory of supplies and informs supervisor of requirements.

Cooks, reheats, and assembles food from the catering company in accordance
with health guidelines; prepares food trays and utensils and eating areas; performs
other light housekeeping duties; and, assists with supervision of children during
rest, nourishment and play time in the ECE Lab School.
BAND 2
Required to perform several of the duties identified to be in this Band.
Clerk

Performs office duties such as filing, photocopying, sorting and collating materials,
stuffing envelopes, mailing brochures, processing forms, and sorts and distributes
mail and materials.

Provides reception services and answers inquiries from students, staff and public.

Responds to general inquiries concerning registration and admissions information.

Tracks and verifies student records.

Performs keyboarding for data entry and word processing, such as inputting
documents to the online system and preparing memos, letters and exams in
hardcopy and updating information on the web.

Performs mathematical calculations and verifies totals.

Receives, prices, shelves and returns overstocked books.

Distributes and collects tests; monitors classroom while students are writing tests,
identifies cheating, confiscates materials, removes student, completes form for
submission to supervisor; answers questions relating to the testing process; signs
students in, retrieves tests from test bank and checks ID; checks that only
appropriate aides are being brought in; and, collects tests, maintains security and
ensures the tests are returned to the appropriate faculty.

Books videos & equipment using Medinet Software/Equipment Scheduling System
and signs out and returns A.V. equipment and videos.

Assists in all functions related to receiving of orders i.e. processing, indexing,
filing, shelving materials, packing books, arranging delivery through mailing or
courier services.

Provides general courier and clerical assistance at smaller campus locations (book
sales, collection of forms/mail, responding to general inquiries) and sets-up class
rooms and audio visual equipment, sells coffee and locks/unlocks classrooms and
doors at smaller campuses for part-time classes.

Checks library materials in and out using the automated system; sorts (books in call
number order, periodicals in alphabetical order and shelving them) and circulates
books; calls students regarding overdue books; and calculates and collects fines on
overdue books.
Ensures that camp systems and procedures are followed, and assists with special
events for camps in the Sports and Recreation departments.
Caretaker
 Dusts, washes and polishes office and classroom furnishings.

Cleans and disinfects washroom facilities and replenishes washroom supplies.

Vacuums, sweeps, mops floors.

Empties waste baskets and removes trash.

Operates equipment required to maintain floors through surface cleaning, spray
buffing and polishing.

Shovels snow and controls ice problems.

Performs basic grounds maintenance.

Moves furniture, equipment and supplies.
Switchboard Operator

Provides College-wide directory information and receives and directs calls to the
appropriate individual area.

Places some long-distance calls. Coordinates telephone usage records and prepares
long-distance billings for user departments.

Maintains and updates the College’s telephone directory.

Monitors all reported telephone equipment problems and arranges for servicing,
repairs and installations.
BAND 3
Required to perform several of the duties identified to be in this Band.
Co-operative Education Students

Co-op Tutors are in Band 3 as a result of the evaluation of the Job Fact Sheet for
this type of position. However, co-op students can be employed in any of the
classifications depending on the duties performed AND with the
corresponding hourly rates for the designated Band.
N.B. MUST be a student employed on a co-operative educational training
program with a college or university. (Support Staff Collective Agreement, Article
1.1)
Clerk Supply

Performs duties within a central warehousing operation.

Loads and unloads various supplies and materials from vehicles as directed.

Collects and moves supplies and equipment, and delivers supplies and equipment to
various locations.

Packs and unpacks shipments.

Orders supplies as requested via purchase orders.

Performs detailed record keeping tasks associated with the supplies and equipment
utilized within the department.

Returns equipment and supplies to vendors.
Co-op Tutor, Student Help Desk Representative

Tutoring full-time and part-time students.

Working on special projects as required.

Assisting in the delivery of parts of approved academic workshops.

Suggesting additional academic resources.

Assisting in marketing and promoting activities and resources in the
Learning Commons.

Assisting the Learning Centre team.

Supports students and faculty (full and part-time) with IT related enquires
pertaining to software applications, e-learning, College e-mail, student internet
accounts, residence port activations, etc.

Provides support via in-person, e-mail, and telephone enquiries and liaises with
clients (primarily students, but also faculty & staff).

Checks e-learning and local servers and related services for status. Contacts (late
evenings and weekends), when necessary, senior staff with central server/services
problems.

Logs and tracks calls.

Identifies need and assists with creation of help documentation.

Assists senior staff with imaging of computers, hardware installation/repairs.

Supports web site modifications.
Qualifications for “Co-op Tutor”:
- MUST be a student employed on a co-operative educational training program
college or university
- can be employed for more than 24 hrs/week
- “Student Help Desk Representative” can be a co-op student (see points
above) OR a student working part-time (i.e. 24 hours per week or less)
with a
Peer Tutor
 Tutoring full-time and part-time students.
 Suggesting additional academic resources.

Assisting the Learning Centre team including, the delivery of parts of approved
academic workshops and special projects.


Commons.
BAND 4
Required to perform several of the duties identified to be in this Band.
Sports Facility Operator

Conducts minor repairs and maintenance to sports facilities and equipment.

Ensures that ice surface in the Sports Center is cleared and groomed between
sessions and operates Zamboni machine.

Operates trail grooming equipment.

Removes Snow.
Driver

Drives College vehicles on local and long distance runs and is responsible for
vehicle and passengers on all trips.

Conducts safety and maintenance checks, including re-fuelling, and performs minor
maintenance on the vehicles, such as washing, lubrication, oil changes, tire checks,
and keeps records of vehicle performance and maintenance.

Cleans vehicle inside and out.

Drives other vehicles, such as vans, trucks, tractors and snow plows.

Performs courier service duties (loads, unloads and transports supplies, materials,
equipment, mail, etc.)
Qualifications:
- Must have “B” class license in on order to drive buses.
- Must have clear driving record to drive any College vehicles.

ECE Assistant

Implements plans under the direct supervision of full-time ECE Workers for
individual and group needs of children.

Assists with the preparation and organization of materials and equipment and
supervises children’s nourishment and rest periods.

Reports unusual situations to Supervisor.

Participates in staff and parent meetings.
Qualifications:
- ECE Worker diploma or equivalent, current First Aid and CPR, medical
certificate, and upon hiring must provide a criminal reference check

BAND 5
Required to perform several of the duties identified to be in this Band.
General Maintenance Worker

Performs semi-skilled tasks associated with skilled trades (e.g. mechanical,
electrical, plumbing) in the installation, maintenance, repair and general upkeep of
buildings, grounds, equipment and facilities.

Inspects and repairs door and window casings and hardware.

Operates grass mowing and snow removal equipment.

Undertakes fertilizing program, pruning trees and shrubs, etc.

Assists in moving supplies and furniture.

Performs general maintenance tasks such as building cupboards, notice boards,
painting, maintains fencing and sign posts.

Undertakes minor repairs to equipment.
Library Technician

Prepares bibliographies requiring searches of a fact finding nature.

Assists in maintaining card catalogue and library collection.

Maintains vertical files, government document collection, shelf list and authority
file.

Provides reference information and orientation to library users.

Answers general reference questions and operates circulation desk.

Checks invoices and/or periodicals, and maintains reserve collection.

Provides backup support for other Library Departments and participates in Library
projects.
Qualifications:
- 2 year diploma in Library Techniques
Technician

Provides technical support in maintaining and operating equipment which may
include laboratory and audio-visual equipment.

Conducts regular maintenance on above equipment, and maintains equipment
records, inventory and usage logs.

Demonstrates correct techniques for the use of materials and equipment.

Sets up and performs a wide range of experiments.

Takes photographs of displays, ceremonies, guest speakers and performs darkroom
duties such as mixing chemicals, processes 2 ¼ and 35mm B&W, and makes prints
to quality standards, or sends out work for processing, checks quality when
photographs/film come back, records costs.
Clerk - Senior

Performs office and/or registration duties such as: processing transfers, withdrawals
and transcripts; completes and assesses documents related to student admission and
registration; disseminates detailed information in response to a wide range of
inquiries from students and others; and data entry of applications and other
documentation.

Assists in preparation of reports by gathering and compiling data.

Balances departmental daily cash transactions and bank deposits, cash receipt
journals and reconciles trial balances.

Processes and controls purchase orders, expedites purchase orders and verifies
invoices.

Prepares exams, subject outlines, text orders using a variety of software packages or
platforms such as Blackboard and other web-based formats and posting
information and documents to the web.

Prepares payroll documentation and inputs data to an online system.

Organizes systems, procedures and paper flow and recommends change if problems
arise.
Analyzes statements to determine causes of budget variance.

Qualifications:
- Competency with a variety of software packages (e.g. Word, Access,
Excel, PowerPoint) including web editors and several years of related
experience.
Secretary

Prepares correspondence using software applications and organizes data using
software such as Excel or Access.

Initiates and composes correspondence in response to routine inquiries.

Screens callers, takes messages, arranges appointments, and answers a variety of
inquiries.

Maintains a variety of office files such as budgets, staff reports, timetables, and
purchase requisitions.

Establishes office systems and routines and develops record keeping procedures.

Types academic materials such as tests and exams and publishes subject outlines
and updates information on the web.

Gathers and compiles School/departmental statistical data.

Assembles and organizes information for meetings.
Qualifications:
- Competency with a variety of software packages (e.g. Word, Access,
Excel, PowerPoint) including web editor.

Required to perform several of the duties identified to be in this Band.
Support Services Officer

Provides administrative support for School and department programs and services.

Responds to needs of service users by co-ordinating administrative details of
specific projects, including preparing operational plans and schedules.

Responds to inquiries requiring the interpretation of policies and procedures and
their implementation.

Trains, co-ordinates and monitors the activities of other part-time staff, and
provides functional guidance and direction to others.

Researches and prepares presentations and reports to support School and
department plans and objectives.

Compiles and analyzes data in order to provide recommendations.

Designs and creates web pages in accordance with requirements of clients.

Guides practical instructions during camp programs for the Sports and Recreation
departments.
BAND 7
Required to perform several of the duties identified to be in this Band.
ECE Worker

Provides practical training and guidance for students in conjunction with the ECE
faculty.

Conducts and monitors activity programs designed for young children.

Provides feedback to parents as to children’s progress.

Schedules and develops activity programs and arranges for special field trips and
events.

Provides emergency first aid.
Qualifications:
- ECE Worker diploma, current First Aid and CPR, medical certificate,
and upon hiring must provide a criminal reference check
- Minimum of one year’s experience in a child care centre
Technician – Senior

Performs a variety of specialized technical tasks in the repair of equipment.

Provides a senior technical support in maintaining and operating complex
equipment.

Establishes preventative maintenance schedules.

Plans and prepares specifications for facility alteration and/or new equipment
installation, and sets up lab/studio.

Administers and scores a variety of psychological and vocational tests in
accordance with established guidelines.

Prepares and executes laboratory experiments showing the relationship between
theory and test results.

Modifies standard lab tests as per instructions and prepares student lab manuals.

Evaluates equipment and other resources and makes recommendations prior to
purchase.

Controls supply inventories based on budgets.
Qualifications:
- relevant 2 year diploma (or equivalent education and experience) and several
years of related experience.
Library Technician – Senior

Provides detailed reference and orientation services.

Recommends and implements changes in library procedures.

Undertakes original cataloguing under the direction of a librarian.

Assists in establishing independent learning packages.

Recommends the selection of library materials.

Provides reference information to library users that requires a more detailed search.

Provides backup coverage for other Library Departments.

Orders on-line library materials with Bibliocentre.

Supervision of shelvers during evening shifts.
Qualifications:

Support Services Officer - Senior

Develops and co-ordinates programs involving a review of subject outlines, tests
and exams for validity and currency and monitors academic quality of part-time
programs.

Determines appropriate mode of course delivery.

Develops detailed training programs to ensure adherence to original objectives.

Selects, hires, manages and evaluates part-time faculty.

Chairs part-time promotion committee meetings.

Conducts student orientation sessions and interviews and selects new students for
part-time courses.

Analyzes needs assessments to identify requirements of external and internal groups
for college services and develops programs to meet these requirements.

Markets programs and acts as public relations resource when representing the
College to associations, business and industry.
Qualifications:
- 3 year diploma (or equivalent) and significant experience in adult
education/marketing/program planning/curriculum development/assessing
community and business need
Technologist – Senior

Plans for the provision of technical services and effective utilization of resources
based on independent assessments of School’s/department’s needs through
research.

Co-ordinates projects involving overall planning, development, purchasing and
testing of equipment and resources.
Solves a wide range of complex problems associated with specialization.
Designs and/or develops equipment, systems, facilities, materials, etc. to meet user
output requirements.



Plans, organizes and conducts experiments and demonstrations explaining correct
procedures and theoretical principles involved.
May assist the Professor in student evaluations in relation to learning activities.
Develops systems and program specifications, data layouts and programs for
subsystems through the application of systems analysis and programming
techniques.
Creates, configures and maintains wide area and local area networks as well as
operating systems and applications hardware/software.

TERMS AND CONDITIONS
This contract serves as notification that the period of employment is for this period only and there
can be no guarantee of employment beyond this period.
My Signature below confirms my agreement to:
1. adhere to the College’s policies and procedures;
2. to complete time sheets every two weeks;
3. recognize that this agreement is a new employment relationship with the College rather than a continuation of any preexisting employment relationship;
4. “hours/week” is the maximum authorized - your supervisor will assign the number of hours to be worked each week;
5. the assignment is for the above period only;
6. during the above period, the assignment may be changed, and upon providing you with two weeks written notice, your
assignment may be cancelled and employment may be terminated due to operational requirements, fiscal circumstances,
student activity level, insufficient work and/or technological changes,
7. the College reserves the right to cancel any assignment or terminate employment for reasons of cause, failure to attend or
unsatisfactory job performance; and
8. that I will complete the mandatory Accessibility for Ontarians with Disabilities Act training with Seneca as a condition of my
employment within 2 weeks of the start of my contract.
