CHAFFEE COUNTY POSITION DESCRIPTION

GENERAL STATEMENT OF DUTIES:
Ensures that accurate and timely payments are made to employees, vendors, foster care and child care
providers; ensures that cash receipts are recorded, verified, and reconciled with the proper systems.
ESSENTIAL JOB FUNCTIONS:

•
Prepares payrolls in accordance with distribution guidelines on the CYMA accounting system, prepares
envelopes, and sends warrants out. Certifies and balances payrolls with the Treasurer.
•
Prepares daily deposits and reconciles deposit with the Cash Log.
•
Enters and posts accounts r e c e i v a b l e through the various State and manual systems. Balances
and monitors all cash recovery accounts for the agency.
•
Prepares billings for accounts f o r out of t h e system receivables.
•
Performs data entry into various State systems to prepare payments for foster care and childcare.
•
Resolves payment discrepancies with case managers and vendors.
•
Prints various State system reports, reconciles, and distributes as needed.
•
Checks employee travel records from receipts for accuracy, completeness, and appropriateness prior to
PR.
•
Keeps monthly attendance records and posts employee leave accrued and taken.
•
Monitors RMS responses or non-responses.
•
Issues QUEST cards to clients, resets PIN numbers, and responds to online emergencies.
•
Takes minutes at the Emergency Services meetings, sends and records denials and approvals.
•
Clears sidmods for the agency.
•
Acts as security administrator for the agency. Acts as liaison between State and agency for security
access to various programs and initiates new security screening of personnel as well as updates and
resets of passwords for current personnel. Acts as troubleshooter for agency when password
problems come up. Works with Istonish staff for computer swap outs and does the annual Istonish
computer audit.
Processes non-emergent Medical Transportation in accordance with HCPF guildines.


EDUCATION:
Minimum Education: High school diploma or GED, Associates Degree in Accounting or a four year
bachelor's degree in Accounting preferred.
EXPERIENCE:
Work Experience in Positions Similar or Related to This Job: Two (2) to four (4) years in related field.
REPORTING RELATIONSHIPS:
This Position Reports to: Financial Manager
This Position has Supervisory and/or Management Responsibility for: None
KNOWLEDGE, SKILLS, AND ABILITIES:
•
Knowledge of accounting and double entry bookkeeping.
•
Ability to utilize multiple software systems including Excel, Word, QuickBooks..
•
Ability to communicate verbally and in writing.
SCOPE OF INTERPERSONAL CONTACTS:
Relationships are with accounting staff, case managers, case workers, eligibility technicians, Child
Support Enforcement technicians, and other Human Services employees and supervisors.
MATERIAL AND EQUIPMENT USED:
Computer, printer, calculator, copier, fax machine, telephone.
WORK ENVIRONMENT:
Work is generally confined to a standard office environment. Noise level is generally moderate.
PHYSICAL DEMANDS:

Stands 5% of the time, walks 5% of the time, and sits 90% of the time.

Vision:
The vision requirements for this position are as follows:
Close vision (clear at 20 inches or less).
Peripheral vision (ability to obseNe an area than can be seen up and down or to the left or right while
eyes are fixed at a given point).
Communications: Individual must be able to clearly understand the English language and be understood
while speaking the English language.
Driving: Must be able to operate a motor vehicle.
