Call to Order/Welcome/Additions to Agenda
Sherry Thompson called the meeting to order.

2.
Approval of Minutes of Meeting of October 12, 2006
The minutes of October 12, 2006 were approved as presented through e-mail distribution.
3.
Thanks to Karen Visser
Karen Visser was thanked for her term as Circulation Standards Committee Chair.
4.
Sub-committee – procedures manual/ training script
Karen Visser, Margo Till-Rogers, Sheila Fynn, Mary Ann Helm and Margaret Law will be meeting
in January to continue with the Circulation Procedures manual / training script.
5.
Transit flags revision
It was suggested that Date Returned be added back to the top of the Academic Flag to avoid
confusion about when an item had been returned to GMC. This suggestion was approved by the
committee.
A suggestion was made to fold the Academic / Health flag if sending material to the Health
Libraries.
6.
Alumni Card
Concordia & Taylor have had staff whose borrowing privileges were cut back when they became
Alumni. They are suggesting that they retain full privileges.
U of A treats Alumni as External & Retired as Primary.
Margaret Law suggested a sub-committee to examine the options. Judy Tereschuk, Karen Visser
and a U of A representative [Peggy Morgan will find a volunteer] will review this issue.
7.
Circulation of videos, DVDs & CDs
Concordia students are getting DVDs & CDs from U of A. Heather says that’s OK.
U of A doesn’t use the LOCAL_LOAN item type.
With the exception of Taylor, local loan items are only requestable when the user library matches
the item library.
Cathy Hendry GPRC – Some items marked as Local loans are receiving requests that must have
been Staff mediated. These are being cancelled by the owning library.
8.
2 year Missing List to DISCARD
Heather Johnson informed us that the report which will change items on the October run of 2-year
missing list to DISCARD has not been run. She will inform us when it is run – perhaps the end of
January.
9.
Hold Cancellation notices
Heather Johnson has been testing the Hold Cancellation notices which will inform the Borrower
that a hold has been cancelled. They should start being sent next week. Heather will send out
the full procedure.
The process is
1. Item on a pick list is not found
2. Mark it missing
3. Item is searched for again from the next day’s missing list. If not found in that search, the
hold is removed by staff and the user will receive a cancelled hold notice.
10.
Christmas Close Dates
6 week loans will fall due during the U of A closed dates. BARD will not be delivering during the
U of A closed dates.
UA Libraries will mark their calendars closed from Dec 22 nd - Jan 7th

If a Library would like to mark their calendars closed, contact Lori Swanston.
Note: If Sirsi is updated the first week of January, Circulation reports will be delayed.
Finished reports will stay on longer than usual.
11.
Items with multiple barcodes
Jasveer Jhass noticed that some U of A books have barcodes in both the front and the back of
the books.
Peggy Morgan advised us that U of A is doing a BarCode project for the new Self-Service system
moving the barcodes from the back to the front of the books.
12.
Dummy test cards
Margaret Law requested that libraries send a registered dummy NEOS card [complete with
barcode] to test the new self serve centers. Only one card is required from each Library Group.
