Fleet Maintenance Clerk – South Bend, IN Summary: The Fleet Maintenance Clerk provides administrative and technical assistance for the Transportation Department in accordance with company policies and procedures. The Clerk is responsible for ensuring the work flow, maintenance repairs and other related records are kept up to date and correct. Communications regarding all equipment, company cars, plant equipment, tractor trailers, and forklifts are handled daily with appropriate locations. Essential Duties and Responsibilities: This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time. Recordkeeping, Fleet Maintenance Department Database and Reporting: Organize, maintain, and purge department files. Maintain Fleet Maintenance Department database (Transman), including entering new equipment or parts into the computer system, schedule internal & external repairs Ensure that hard copy and electronic records are maintained in a current status. Develop, maintain, and distribute regular reports as instructed. Greeting Employees and Answering Inquiries: Greet visitors, directing them to the appropriate staff member to address their issue or to schedule an appointment. Act as resource for employees to address and resolve basic fleet / equipment inquiries and problems. Assist Fleet Maintenance Manager with maintaining and distributing updated compliance documentation (ie. Vehicle registrations, Proof of Insurance) Administrative Support: Make copies, scan, fax or print documents as needed. Work with fleet / equipment service vendors to ensure equipment is in working order. Create and monitor internal & external repair orders, ensuring that receipts are kept and invoices paid in a timely manner. Order parts / supplies as needed. Assist Fleet Maintenance Manager and Service Providers with handling, documenting and follow up on accidents and breakdowns. Act as back-up to the other two shifts Fleet Maintenance – Transportation: Key Performance Indicators and Quality Assistance: Develop a hands-on understanding and maintain knowledge of the various Steel Warehouse Transportation, processes, practices, policies and key terms. Assist with the development of key performance indicators (KPIs) that are effective for the Fleet Maintenance / Transportation Departments. Monitor the Fleet Maintenance database (Transman) on a regular basis. High School Diploma or GED is required 12. 1 year of experience with processing and follow-up on insurance and accident claims and knowledge of crash reporting required by each state is highly preferred. Note: This position requires the ability to work overtime as deemed necessary by Management and the flexibility to cover 2nd and 3rd shift as needed. .
