Agenda for 05/16/07 GRAPple meeting
Next meeting: July 18, 2007 from 10-noon in PBA conference room
Not able to attend today: Ryan Chreist, Deb Irwin, Linnea Avallone
New member: Malinda Miller-Huey

Two frames or one?

How many IR personnel does it take to answer this question?

Shouldn’t the answer be posted on the web?

AAR and RPR changes since spring census 2006

RPR changes: http://www.colorado.edu/pba/concepts/RPRvs061_B1.htm

New majors, open to entering students (so will see additions to AAR, as well)

ATLS PhD; ATOC PhD, MS; AUDD D Aud; CBEN BS CB;

Not a new major code, but new degree associated with prior major code

CRWR MFA - changed the MA in English with Emphasis in Creative Writing to an MFA in Creative
Writing

New major, but not on AAR since it is not open to new freshmen, new transfers, or readmit students
 JRGS BS JR - Only open to students who are currently in the School of Journalism and have
completed a minimum of 9 hours in one of the current Journalism majors. Students would still
graduate with a Bachelor of Science in Journalism. Definitely general studies, not open option,
per email checks; degree flag = Y

New majors, COF related

NHPJ ndeg; NHPS ndeg;

New, with an end date – should this really have been added? Why?

OPNO MBA - RPR row is:

BD B1 BG MBA MAST OPNO Y 19801 20027 ARSP GS 520201 BU 31 OPEN OPTION *OPN
ARTS & SCIENCES SPECIAL PROGRAMS

Why has this been added? It was not on RPR in 061 – Carol will check on this and
probably delete

Dropped EVC2 MS – never needed (MS); the BACH rows are fine

Does anyone know why this was dropped? My notes show that it had an illegal cip code at
one point, and it looks like that got fixed, but I couldn’t find anything about dropping the major;
Did I miss this one? Trying to log all changes and reason(s) for the change; sending emails
out

Other changes: enddates – long list; need to create table and reasons why ended – PBA to
create system

AAR changes: http://www.colorado.edu/pba/concepts/AARvs061_B1.htm

Added: ATLS, ATOC, AUDD – G, X rows and CBEN – F, R, T rows – all are new majors open to
entering students

Dropped: BFAE, BFAH, R – undergrad readmit rows - AAR cleanup; students are no longer
allowed to readmit or complete a major

Dropped: ENUD BAC T – new transfer row – another cleanup; it was used at one time by the
Office of Admissions when a new transfer student had not indicated any major choice, but was no
longer used and was end-dated in 2000; AAR row not needed
 Dropped: SOCI MAS G – new grad row – an unnecessary row since students can not enter the
master’s program from outside

DHE (aka CCHE) update – Lou

10 yrs of program closures – an FYI – System asked for this info

Results for CU-Boulder approved degree program closures, spring 1997 through spring 2007

Due to low demand policy, and had extremely low demand

Central & East European Studies - bachelor's – end date = 20031

Latin American Studies - bachelor's – end date = 20031

Individually Structured Major - bachelor's – end date = 20031


Mathematical Physics - PhD – end date = 20021



Had very low demand; not sure if ended per CCHE or not
American Studies - bachelor's – no end date

Due to low demand policy, had granted 15 degrees in 3 years

Closed programs with no end date

AMST BA (see above) - Carol (via Sally) will end date with 20077 (5 degrees in 2006)

CHIN MA – Carol (via Sally) will end date with 20007

We’ve confirmed that both of these are not on the approved degree list and have no end dates (see
L:\datalib\MAP\AMST&CHIN.pdf)

Degrees and enrollments over time (see L:\datalib\MAP\AMST&CHIN_enrl&deg_over_time.doc) – last
enrollment in 2000, last degree in 1997

Toward the end of the meeting, Melinda asked us to take a look at Web postings for prospective
students--e.g., http://www.colorado.edu/prospective/freshman/index.html

Discussed having a separate list of things that are options for a student in a major

Looked at Spanish catalog posting, also some of anthropology

The comment about applying to the school of journalism on
http://www.colorado.edu/prospective/freshman/academics.html is not quite correct

It was pointed out that we don't have information on some things such as BAMAs for actual (not
prospective) students in a single place. Actual students typically have to go through the college to
get this type of information.

Maybe we could substitute "how to apply" for "prospective" on http://www.colorado.edu/

We decided that reviewing such postings was probably not the best use of the grapple group's
time

Follow-ups on APAS/ATOC – recording all ATOC students from 1994 on who were previously coded at APAS
as an option on APAS majors

Option code is ATM, label ATMOSPHERIC & OCEANIC SCIENCES

PBA has produced a list of IDs and terms enrolled for ATOC students previously coded as APAS and who
should have the new option code of ATM added (see L:\IR\NRC\ATOC\ATOC_batchupdate.xls, tab
ATOC_enrollments)

Sally TODO: batch update of student term records to add this option on SIS

PBA has produced a list with IDs, names, and the degree term for degree recipients who should have the
ATM option code added to their record (see L:\IR\NRC\ATOC\ATOC_batchupdate.xls, tab
ATOC_degrees)

Barb Cline TODO: hand entering the 27 degree recipients on the degree record

Annie sent file to Sally and Barb C on 5/16/07

SIS/CS preps

See Barb Todd email of May 10, 2007 – Ginny consider representing grad school on campus team

Academic program issues

Sally’s checklist - L:\sisdoc\Proc\CostEffects_Changes_CrsSubjDeptMajor.doc

Questions to keep on our list of things this group needs to address

Setting up a checklist on "names of academic groupings" - If one changes, should others? What
others should be considered?

Dept or program (where program = org entity that organizes curric, courses, and/or degree
program)

SIS deptcode and translation [in these and below, could change one and not the other]

Course subject codes and translations.

Degree program and diploma text

Degree -- code and translation

Major -- code and translation

Minor - code and translation

Listing in UG, grad app; catalog; web; ApplyYourself

Others? Certificates






What steps need to take place to make each happen (approval needed, logistics) and consequences
and possible unintended consequences. For example:

If major code translation changes, will change transcripts generated

If change course subjects, do individual courses change?

If change major code, is it changed on current students? when?

Departments should use the checklist to MAKE the proposal, the deans office to CHECK, the
provost to CHECK, system to CHECK

Checks to make sure it is clear what's changing and that the alternatives and consequences are
clear and have been considered.

Probably also need a section on "what's not changing"
All requests should be public and posted
Need list of all forms used for making changes.

Major code request form: http://registrar.colorado.edu/staff/pdf/major_code_request_form.pdf

Valid major/minor/track code request form:
http://registrar.colorado.edu/staff/pdf/valid_major_minor_request_form.pdf

Others??
See our diagram matching catalog, web pages, SIS, etc.

Keeping our original question of what happens from application to diploma on the table, along with the
UW model



Art & Art History name change

The department changed its name, but the degree program is still named Fine Arts, and the two
majors still have translations associated with Fine Arts;

We’re now at a stand still – who initiates changes

Follow-up still needed – we discussed the diploma/transcript issues still unresolved by making this
degree name change; should really split into two degree programs to fix the problem and have the
diploma accurately say what the degree is in (studio arts or art history)

Do we:

Do nothing (students are unhappy with diplomas that don’t accurately reflect their major)

Change the major translation (this causes problems for issuing transcripts for students who’ve
previously received a degree – it would change their transcript)

Change the degree program name – (same problem, issues with this)

Add new degree program(s) with all new major codes – (will fix the problem, but need to
document that there are enough enrollments and degrees to justify splitting into two programs)

Our goal should be to communicate with the department and A&S by the end of July, documenting
that there are enough enrollment and degrees over time
Other programs where splitting into more than one degree program might make sense

APAS/ATOC degree name – don’t think anything is happening on this

Biochem/Chem – steps have been taken; did it get into the academic planning report this April? PBA
to check

PBA still TODO: Need to change APAS major and degree names from ASTROPHYS, PLANETARY, ATM
SC on table A0044 to Astrophysical & Planetary Sciences

Other

Hydrology track – a code has now been set up

Cleanup of CCHE degree name list from “Doctor of Audiology” to “Audiology” – DONE
