Angelina works as an administration officer. Her main tasks are reception duties, word processing, handling the mail and filing. Most days Angelina’s manager gives her urgent work in the afternoon that needs to be completed that day. Her time lines are always very tight and she often finds that she has to work during her lunch hour and for an extra half hour in the evening. She is always exhausted and is becoming stressed.

To make matters worse, Angelina finds that work is often just dropped on her desk, which makes her desk disorganised and difficult to use. She can’t alter her chair and there is glare coming from her monitor. She often leaves work with a headache and a backache. a) List all the unsafe work practices Angelina experiences. b) For each of the unsafe practices you have listed in a) describe a solution. c) In half an A4 page describe why work organisation and ergonomics lead to better employee health.

Case study

Claire was told to prepare an electronic presentation to show to external clients. She knew that the clients wanted information about new legislation and how it was affecting the organisation. She found lots of legislative documents and used the fine details to fill the slides that made up the presentation.

Claire then produced speaker notes that contained additional, detailed information. When Claire delivered her presentation, the audience seemed confused and some clients appeared to fall asleep. She later found out that the audience wanted a general outline of the legislation and the details she presented to them on the slides and in her notes were too complicated.

Why should an organisation have a preferred style and layout for its electronic presentations and hard copy handouts? Write half an A4 page.

You are going to produce a presentation using summary slides and custom shows. Use at least 12 slides for your presentation.

Think of a subject for your presentation. It can be about something you have studied or anything that interests you. Talk to your tutor or if you are working talk to your manager about your topic before you begin.

Follow these guidelines.

 Use consistent style in your title and body text.

Break up your presentation into three custom shows with a summary slide to introduce each custom show.

Create a table of contents slide at the beginning of your presentation that contains headings from all three summary slides.

 Use Rehearse Timings to pace your show.

 Write speaker notes and audience notes to support your presentation and print them out.

Use appropriate help sources when needed.

Kerrie has just started work as an office assistant in a large organisation.

She was given a workstation that has a monitor, a computer, a keyboard, a mouse, a telephone and an adjustable chair.

Her job will include handling a lot of files. Some files will have to be handled daily and others weekly. She will also be required to frequently use the phone. Kerrie’s role will involve a lot of repetitive tasks, such as data entry. She will also be required to organise meetings for a number of different teams.

Kerrie’s new office has large paper and power bills and her manager has asked her to think of ways to cut costs. a) Describe how Kerrie could adjust her workstation to make it comfortable for her to work. Write half an A4 page. b) Describe equipment that Kerrie could use to prevent injury while working. c)

Describe how Kerrie could plan a day so that she doesn’t have to do repetitive work for too long. d) Imagine that you are Kerrie and you have to present a list of ideas to your manager about conserving paper and energy. Make a list of paper- and powersaving ideas.

a) You are going to create a PowerPoint presentation. Discuss the subject of your presentation with your manager to make sure it’s relevant to your organisation’s needs. Also discuss a suitable timeframe to have your presentation completed and how you should best store your work appropriately and safely. Make sure you identify your audience and the purpose of your presentation. Identify what your presentation requirements will be. Create a paper-based storyboard to help with the design of your content. Show that you are aware of any legislative requirements you must comply with, such as privacy and anti-discrimination laws or regulations. Use online and paper-based help materials to complete your presentation. Describe any difficulties you encountered and what you did to solve the problem; for example, the text wouldn’t fit on one page; you forgot how to include speaker notes.

You can be as creative as you like with this task, but it must contain the following criteria.

Consistent style with no spelling or grammatical errors.

 Balanced presentation features including animations, transitions, graphics and set timing.

Advanced software features using either basic or hyperlinked custom shows.

Printouts of handouts and speaker notes.

Be aware of avoiding distractions such as irrelevant animation, crowded slides, overly busy background etc.

 Feedback from a work colleague or fellow learner that identifies any potential problems, missing elements or suggestions for presentation.

OR b) You are going to create a PowerPoint presentation. Imagine that this presentation is to be loaded onto the Web, and that it will also be used by your manager to present information to clients. Identify what your presentation requirements will be and what is an appropriate timeframe within which to complete it. Create a paper-based storyboard to help with the design of your content. Use online and paper-based help materials to complete your presentation. Explore various options available to ensure you store your work safely.
