The Diploma Programme Coordinator is the interlink between
teachers, students, parents, IBO and school administration

the Coordinator has to be responsible for.
Below is the list of specific responsibilities:
1. Working with teachers
 Making sure the teachers fully understand the programme, its
philosophy and their responsibility
 Ensure that teachers understand their own subject requirements
 Organizing teachers meetings
 Providing access to OCC and IBIS websites
 Supervising the deadlines
 Creating the timelines the way that teachers have enough of time to
work together
 Encourage, supervise and take part in collaborative planning
2. Working with students
 Creating individual study plans
 Helping with course selection
 Attending classes
 Monitoring students’ academic performance
 Monitoring students’ attendance
 Organizing individual and group meetings
 Helping with university selection and admission
 Providing moral support
3. Recruiting prospective students
 Organizing DP promotional workshops for younger students and
school community
 Establishing contacts with students from other schools and countries
 Implementing IB Learner Profile and Philosophy throughout the
school
 Offering pre-IB courses for 8th-9th graders
 Creating and running placement tests for prospective DP students
 Setting up student interviews
4. Communicating with the school administration and the rest of the school
departments
 Ensuring that the schedule and calendar are set up the way that it is
convenient for all members of the school community
 Making sure that the Diploma Programme gets sufficient support
from other administration members and teachers
 Making sure that the administration is fully aware of DP financial and
educational needs
5. Working with parents
 Organizing parent meetings
 Writing weekly student reports
 Inviting parents to attend open lessons
 Making sure the parents are aware of what the IB DP is
 Involving parents into the school projects
6. Communicating with IB office
 Communicating via e-mail and phone; translating invoices
 Supervising the deadlines
 Reporting issues related to Diploma Programme at our school
 Making sure that the information which comes from IBO is spread
around the school community
7. Organizing Examinations
 Organizing mock written and oral examinations
 Informing students and invigilators about examination procedures
and regulations
 Providing students with individual examination schedules and
the IB handout on the conduct of the examinations, as well as all
necessary materials needed
 mailing examination scripts to examiners within 24 hours after each
examination
8. CAS; TOK ; EE courses supervision
 Working closely with teachers and supervisors
 Making sure that the philosophy and requirements of the courses are
clear to students and the rest of the teachers
 Implementing TOK course philosophy across the programme
 Encourage parents and other members of the school community to
participate in CAS activities
9. IB Learner Profile implementation
 Making sure the profile is accessible to the school community
 Constantly implementing the profile to the school philosophy
10. Professional Development
 Sending teachers to IB workshops and conferences
 Organizing internal IB oriented school workshops and seminars
 Recruiting perspective teachers for our school, including native
speakers from other countries
11. Collaboration with Universities
 Hosting visitors from different universities throughout the world
 Organizing workshops for current DP students about university
admissions
 Distributing promotional literature among the students and school
community
 Writing letters of recommendation for DP students
 Setting up and carrying meetings with students and their parents
regarding the universities
12. Monitoring expenses
 Paying the fees according to IBO requirements
 Creating annual budget
 Monitoring all expenses related to the program (such as postage,
courier, publications, promotional literature, books, etc)
13. Organizing school evaluation process
 Making the necessary documentation accessible to all school
stakeholders
 Setting up deadlines, meetings, personal responsibilities
 Monitoring the process throughout the 5-year period of time
 Meeting with all stakeholders on the regular basis
14. Developing Programme calendar
 The calendar is updated annually according to current
students’/teachers’ educational needs
 Making sure the calendar is accessible to all members of the school
community
15. Cooperation with MYP Coordinator
 Organizing weekly meetings
 Developing direct succession between MYP and DP Programmes
 Preparing for IB workshops and conferences in Russia and abroad
 Exchanging IB experience/useful information for students, teachers
and parents
16. Diploma Programme recognition at the school
 Making sure that the school community is fully aware of importance
of the Diploma Programme, its core requirements and philosophy.
 Working on constant improvement of the Diploma Programme
positions at the school
17.General Administration
 Registering students as examination candidates
 Entering data on the IBIS website
 Entering student marks/predicted grades
 Supporting students with special assessment needs
 Monitoring assessment tasks and sampling work to be send to the
IBO
