Saddleworth Runners Annual General Meeting

Minutes – (32 signed-in Members)
1.Apologies
 Luke Higgins, James Sheard, Jill Davies, Sue Heywood, Jim Barrott,
Tim Lord.
2.Correspondence
 Jamasi School Ghana – Mark Brakspear has received an email from the
school who were our Club Charity last year. The money is intended to
be used for a projector. The headmaster sends his sincere thanks for
all our help and especially to Mark for his efforts.
 England Athletics – we have been in communications with E.A.
regarding our Club and member affiliation, the issues with the payment
portal had been resolved and we are now fully covered.
 James Sheard – a note re thanking all for the Cake Race help. He had
also audited the accounts and was happy that these were a true
reflection of the Club Accounts.
3.Chairman’s Report – See attached report
4.Financial Report – See attached report
 Sharon produced the full year accounts for year ended 31st October
2013.
 Income was up on the previous year with subs going up to £20 being
part of the reason. Races also made more money than previous
 Out-goings expected for training and garage repairs.
 Website costs? Is there an ongoing fee?
5.Junior Section Report
 Colin said better structured sessions had resulted in a good year for
both athletes and coaches.
 The sessions now run with 5 varying groups.
 Sunday mornings getting a good number out.
 More training for coaches is required next year
 Edges junior event had been well received by all who took part.
 Colin was thanked by the Club for all his efforts
6.Women’s Section Report – See attached report
7.Championship Report
 13 Women and Men completed this year’s championship
 Gaynor and Colin amassing 500 (Maximum points)
 Jill Davies and Jon Platt winning Vets Trophies
 Champs worked well with Grand Prix, HC to continue as co-ordinator
next year.
 Coniston 14 had been added to next year’s Club Champs and is a pre
entry. Oldham 10k and a Park Run to be added
8.Handicap Series Report
 72 members had taken part in the Handicap series, with 20 having
done a minimum 4 races to count.
 Monica Boland achieved the feat of retaining her Championship, with
Mike Elwell fittingly sharing the top spot in his last year as Handicap
organiser.
 Stuart Hutchison is taking over the role.
 Special thanks to Mike for organising and Martyn Hodgson for scores
updates.
9. Run The Moors Report
 A stunning set of results this year again, with 19 Sadds winning
trophies in a range of categories, including overall champions Gaynor
Keane and Colin Bishop.
 Series had worked well incorporating with Club Championships.
10.Election of Officers- see attached list.
 HC to step down as Secretary, Jon Platt agreed to take on role from
end of April, Chris M to take on duties until Jon was in position. HC to
help out where possible.
 Jill Davies coming back onto committee
 Role of Safety Officer was open due to Andy’s departure; applicants
were being invited to speak with Chris or HC.
 Helena Butler and Luke Higgins were welcomed onto committee
 Nicky Torr (clothing) and HC (Club Champs and Grand Prix coordinator) were to hold non exec posts.
11.FRA Safety Regulations
 There was a long discussion around the new FRA safety regulations and
the meeting HC and Colin had attended in News Mills.
 Onus of safety is very much with runner.
 Race Organisers had to ensure numbers out on the hills were
monitored and accounted for at every opportunity.
 A meeting of race SRC organisers had taken place and minutes
produced for further discussion.
 A review of our safety kit is required (mobile phones don’t work)
 A number of ideas were discussed around how to make New Chew
safer from the R.O’s perspective.
 Members urged to put themselves forward to help marshal at races.
12.Club Events for 2014 – see attached list
13.New Chew 2014
 CB keen to ensure race was run as safely as possible to protect himself
against being sued
 CB to put a list of help required on the website for people to sign up
for. A better balance of am, pm help needed.
14.Team Relays 2014
 Mark Bowden to look at possible relays for 2014, FRA relays were most
likely.
15.Cross Country 2014
 It was asked if there was enough interest for teams for the National XC
in Derby in 2014. Richard Sample and Helena Butler was suggested
16.Presentation Evening
 Date set as 18th Jan planning by Jen well underway. Communications
to be produced in coming weeks to promote.
17.Club Charity for 2014
 It was voted that only one charity should be collected for next year.
 Nominations were received for the following charities; Mahdlo, Shelter
Box and Fiona’s Scout Jamboree fundraising.
 A club vote elected for Mahdlo to be our chosen charity for 2014. Chris
M expressed his thanks and was asked to arrange a talk by
organisation Rep in the New Year.
18.Summer Do 2014
 Over weekend of 27th-29th June in Sedbergh a place we have used
some eight or so years ago.
 Tony Greene to look at possible route emanating and returning to the
centre.
19. London Marathon
 Due to the confusion with E.A. and affiliation fees, it was unsure if we
would be in time to request our London Marathon place for 2014. HC to
follow up.
20. A.O.B.
 Santa Run to take place on Tuesday 17th December from the
Wellington in Greenfield. 7.15pm start.
 Winter Day out Friday 27th December from Honley, Holmfirth, plan to
meet up at Tanners for 9.45 to share transport. There would be a
walking option.
 Tanya asked who could add new member to FB site, as a number had
appeared recently though Admin’s had not authorised. CM to review
privacy on site.
 Castleshaw Canter to be arranged by Jill Boustead from Swan Inn
Delph on 18th Jan. helpers required to marshal.
 National XC, possible clash with New Chew on 22nd Feb and availability
of helpers.
 Club Calendar 2014, Charlie was unable to produce, Monica Boland had
set up Dropbox account to receive members photos and will look to
produce a small number of calendars. Colin suggested on-line option
should be considered.
 Charlie Barlow was thanked for his timing of SITG tonight.
 Jo Cunningham made an impassioned plea for members to join the
Owls on Tuesday evenings.
 Mark Brakspear passed on his personal thanks to SRC for their
collections for Jamasi School Ghana.
 Cris Miles expressed his concern over ‘Churn-Rate’ of members as
many new members were not staying for periods of longer than 12-18
months. Are we catering for enough abilities? Should we be looking at


better links with Greenfield Greyhounds? Exec to review at future
meeting.
FB page was not promoted enough amongst our newer members, Colin
to look to change wording on our website.
Richard Sample suggested a Handbook of the Clubs greatest moments
and archives should be produced…Over to you Richard.
