Apex House - Gallery Contract
Apex-Works is a charity that works with vulnerable and marginalised people including homeless people,
individuals with learning difficulties, over 50’s and ex-offenders. We change lives through support, learning
and jobs. Our gallery is based in Leicester’s Cultural Quarter and like our organisation, is welcome to
everybody.
Costings
Apex-Works gallery space is available to hire for 5 working days excluding Saturdays and Sundays.
Additional costs include the option of catering for any preview or launch events



£100 per week (charities/ students)
£150 per week (organisations/ collectives/ businesses)
An additional £30 deposit is compulsory and will be taken off the final invoice upon satisfactory
inspection of the gallery after de-installation of the exhibition
*Installation is available for one day prior to the start date of the exhibition. The gallery can only be opened for
installation within Apex House’s opening hours. If you require more time for installation please check with ApexWorks to find if the gallery is available earlier.

APEX CONDITIONS OF HIRE
The artist/ curator is responsible for:
 All costs of artworks including the making and displaying.
 The delivery, installation and removal of all artworks.
 Tools for installation and removal of artworks. Apex-Works can provide limited tools and
materials for touch-ups of minor damages made to the gallery walls.
 De-installing the exhibition by 4:00pm the day following the last working day of the exhibition
agreed upon.
 Returning the gallery space to its original quality by filling holes, painting abrasions, removing
nails/ fixtures and sweeping the floor.
Apex-Works can provide limited tools to return the gallery to its original stature. If
artwork is abandoned in the space or the gallery isn’t left to Apex’s standards the £30
deposit issued will not be taken off the final invoice.
 Ensuring artwork is insured (to your own decision). Apex-Works cannot take responsibility for
any theft or damages made to the artworks.
 That all artworks have met health and safety standards for public viewing and interaction.
 Any sales of artwork or exhibition merchandise must be processed after the end of the
exhibition and not take place in Apex House.
 Materials for packaging can be stored in Apex House but must be clearly labelled by the hirer.
 Organise invigilation of exhibition with at least one person at a time at all times the gallery is in
use.
 For promotional materials that will use Apex logos, directions or plans these must be
confirmed with Apex before printing.
The hirer of the gallery is responsible for:
 Ensuring there are invigilators for the gallery at all times
 Promoting the space and the exhibition
 Apex-Works can provide catering for any preview events or launches on request in advance.
Do’s and Don’ts in the Gallery
DO NOT use drilling equipment on the gallery’s bare walls. If you are drilling work please use the
wooden boards provided using small screws or nails.
DO NOT attach fixtures/ artworks to the ceiling without consulting a member of staff.
DO NOT fix artworks or signage to the walls using Blu Tack, please use White Tack provided by
Apex.
DO NOT use electrical equipment that has not been PAT tested. Apex staff can locate electrical
points.
DO use foam sticks to attach artworks or for heavier pieces use Velcro. We recommend using the
wooden boards to attach framed or heavy-duty pieces with nails or mirror plates.
DO fix all signage and labels with White Tack provided by Apex (this is to reduce damage to the
gallery walls).
DO insure artworks, signage and merchandise are removed from gallery within the agreed time. If
anything is abandoned in the gallery by 4:00pm the following day you will lose your £30 deposit.
DO insure you are keeping to health and safety standards during the installation, dismantling and
running of the exhibition.
DO keep in mind the agreed upon opening times of the exhibition and the arrangement of invigilators.
DO only use the paint and filler provided by Apex-Works when amending the gallery walls. This is
available upon request.

Dismantling Guide
This guide is provided to insure when de-installing the exhibition the gallery is returned to its original
quality. Upon satisfied inspection your £30 deposit will be taken off your final invoice.

REMOVAL OF ARTWORK
Please insure you have removed all artwork, promotional materials and paperwork from the
gallery.

FILL HOLES
Make sure all holes made are filled with filler provided by Apex-Works. Also please smooth
over with sandpaper to insure a neat finish.

PAINT
Please paint over any scuffs, marks and filler improvements with paint and brushes provided
by Apex-Works. Please plan ahead of time for paint to be dry before inspection.

TIDY
Please remove any rubbish or unwanted materials from the gallery using bins provided.
Please do not leave full bin liners in the gallery space. Insure that the floor is swept and any
paint or spills cleaned.

TOOLS RETURN
If any tools have been borrowed from Apex House please insure they have been returned
without damage.

DEPOSIT
In order to return your deposit, please report to reception for inspection before leaving the
gallery.
